Position Overview
We are seeking a highly organized and professional Executive Assistant to support a successful real estate agent. The ideal candidate will be instrumental in managing daily operations, client communications, and administrative tasks to ensure smooth business operations and exceptional client service.
Key Responsibilities
- Manage the real estate agent's calendar, including scheduling property viewings, client meetings, and coordinating with other real estate professionals
- Handle incoming calls, emails, and correspondence professionally and efficiently
- Coordinate property listings, including organizing photography sessions, updating listing information, and maintaining accurate property databases
- Prepare and proofread real estate documents, including listing agreements, offers, and closing documents
- Manage and grow social media presence across multiple platforms (Instagram, Facebook, LinkedIn, TikTok), including:
- Creating and scheduling daily content to showcase listings, market updates, and agent expertise
- Developing engaging video content for property tours and market insights
- Managing paid social media advertising campaigns
- Monitoring and responding to comments and direct messages
- Analyzing social media metrics and adjusting strategy accordingly
- Assist with other marketing efforts, including email campaigns and event planning for open houses
- Maintain client database and follow-up systems to ensure excellent client relationships
- Process and organize important documents, maintaining both digital and physical filing systems
- Coordinate with title companies, mortgage lenders, and other stakeholders during transactions
- Assist in creating presentation materials and market analysis reports
- Track and manage transaction timelines and deadlines
Required Qualifications
- High school diploma required; Bachelor's degree preferred
- 2 years of administrative experience, preferably in real estate or related field
- Excellent computer skills, including proficiency in Microsoft Office Suite and CRM systems
- Strong organizational and time management skills
- Outstanding written and verbal communication abilities
- Detail-oriented with excellent follow-through capabilities
- Ability to maintain confidentiality and handle sensitive information professionally
Preferred Qualifications
- Real estate license or willingness to obtain one
- Experience with real estate-specific software platforms
- Knowledge of local real estate market and trends
- Proven experience managing business social media accounts
- Proficiency with social media management tools (e.g., Hootsuite, Later, Buffer)
- Experience with content creation tools (Canva, Adobe Creative Suite)
- Knowledge of social media best practices and current trends
- Experience in transaction coordination
Work Environment & Schedule
- Part-time position, 2 days per week in-office
- Office located in downtown Hinsdale, Illinois
- Additional remote work possibilities for social media management and administrative tasks
- Some flexibility may be required for evening and weekend social media monitoring
- Fast-paced environment requiring ability to multitask and prioritize effectively
