Job Summary
We are seeking a highly organized and motivated Office Manager to oversee daily operations within our office environment. Duties

  • Manage day-to-day office operations, ensuring a smooth workflow while utilizing efficient administrative processes.
  • Serve as the primary point of contact at the front desk, greeting visitors and handling inquiries with professionalism and courtesy.
  • Oversee scheduling and appointment management, coordinating meetings and maintaining calendars for team members.
  • Perform proofreading of documents to ensure accuracy and clarity in all communications.
  • Maintain organized filing systems for both physical and digital documents, ensuring easy access to important information.
  • Assist in managing office supplies inventory, placing orders as necessary to ensure adequate stock levels.
  • Support team members with various clerical tasks, including data entry and document preparation.
  • Answering inbound calls promptly, following proper phone etiquette, and directing them to the appropriate personnel or department.

Requirements

  • Proven experience in office management or as a personal assistant.
  • Strong computer literacy with proficiency in Microsoft Office Suite or similar software applications.
  • Excellent time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Exceptional attention to detail and strong proofreading capabilities.
  • Familiarity with front desk operations and customer service best practices.
  • Strong organizational skills with an ability to maintain accurate records and files.
  • Effective communication skills, both verbal and written, with a focus on professional phone etiquette.

Key Responsibilities:

  • Answer and direct phone calls and emails professionally
  • Greet clients and visitors and manage front desk duties
  • Maintain and organize property listings, files, and documentation
  • Coordinate appointments, showings, and open houses
  • Input and update property listings with detailed notes as needed
  • Assist with marketing materials, mailers, and social media posts
  • Order office supplies and maintain office cleanliness and organization
  • Support real estate agents and brokers with various administrative tasks
  • Work with Appfolio and Quickbooks previous a plus.
  • Have a reliable car for errands and inspections.

Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor's degree preferred)
  • Previous office or administrative experience (real estate experience a plus)
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency with Microsoft Office Suite and Google Workspace
  • Familiarity with Appfolio, other MLS platforms, or real estate software is a plus
  • Ability to handle confidential information with discretion

Pay: $22.00 - $24.00 per hour
