Job Overview:
As Front Desk Staff, you will be the first point of contact for residents, guests, and visitors at our property owner’s association. Your primary responsibility is to provide excellent customer service and ensure smooth operations at the front desk. You will handle a variety of tasks, including answering phone calls, managing inquiries, processing payments, and assisting with community events.
Key Responsibilities:
Customer Service: Greet residents, guests, and visitors with a friendly and professional demeanor. Handle inquiries, provide information, and direct them to the appropriate staff or resources.
Communication: Answer incoming phone calls and emails promptly. Relay messages to appropriate staff members and follow up as needed.
Payment Processing: Accept and process payments for association dues, event fees, and other services. Maintain accurate records of transactions.
Administration: Maintain and update resident and guest records in our database. Distribute mail and packages to residents as needed.
Event Support: Assist with the organization and coordination of community events, including registration, setup, and tear-down.
Problem Solving: Handle and resolve resident and guest complaints in a timely and professional manner. Escalate issues to management when necessary.
Office Maintenance: Ensure the front desk area is clean and organized. Order office supplies and manage inventory as needed.
Security: Monitor access to the community, check visitor credentials, and maintain security protocols.
Other Duties: Perform other related tasks as assigned by management.
Qualifications:
High school diploma or equivalent.
Proven experience in customer service, hospitality, or a related field.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in using office equipment and software (e.g., Microsoft Office, database systems).
Ability to handle cash and process payments accurately.
Professional appearance and demeanor.
Familiarity with property management or community association operations is a plus.
Must be reliable, punctual, and able to work flexible hours, including evenings and weekends as needed.
