Job Summary:
We are seeking a highly organized and proactive Assistant Property Manager to support the day-to-day operations of a dynamic portfolio consisting of long-term and short-term rental properties. The ideal candidate will play a critical role in ensuring seamless management, tenant satisfaction, and the success of the property portfolio. This position requires a strong ability to multitask, excellent customer service skills, and familiarity with property management software tools such as DoorLoop, ClickUp, and Guesty.
Key Responsibilities:
- Operational Support:
- Assist the Property Manager with daily operations for both long-term rentals (Zillow, Apartments.com, etc.) and short-term rentals (Airbnb, Vrbo, etc.).
- Maintain accurate records, monitor occupancy rates, and track rental income.
- Ensure smooth integration and use of DoorLoop, ClickUp, and Guesty for efficient property operations and reporting.
- Tenant Relations:
- Respond promptly to tenant inquiries and concerns, ensuring a high level of customer satisfaction.
- Handle lease administration, including renewals, move-ins, and move-outs.
- Support tenant screening processes for long-term rentals and coordinate guest experiences for short-term stays.
- Marketing & Leasing:
- Collaborate on property marketing efforts, including listing properties on Zillow, Apartments.com, and Airbnb.
- Ensure property descriptions, photos, and pricing are current and competitive.
- Assist in generating leads, scheduling tours, and managing applications for long-term rentals.
- Maintenance Coordination:
- Work closely with the maintenance team to schedule repairs, inspections, and regular upkeep.
- Track and ensure completion of maintenance requests using ClickUp.
- Coordinate with external vendors for specialized services as needed.
- Financial & Administrative Tasks:
- Monitor rent collections, late payments, and follow up as needed.
- Review and reconcile invoices from vendors and service providers.
- Short-Term Rentals Oversight:
- Manage bookings, calendar synchronization, and guest communication through Guesty.
- Coordinate with cleaning teams to ensure properties are always guest ready.
- Monitor guest reviews and implement feedback to improve guest satisfaction.
Qualifications:
- Education: Bachelor’s degree in business administration, Real Estate, or a related field (preferred but not required).
- Experience: Minimum 2 years of experience in property management, hospitality, or a similar role.
- Skills:
- Proficiency in property management software (DoorLoop, Guesty, ClickUp) and booking platforms (Airbnb, Zillow, Apartments.com).
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Problem-solving mindset with attention to detail.
- Knowledge of local and state regulations for both short- and long-term rentals.
