Job brief
The Administrative Specialist/Receptionist facilitates the efficient operation of the assigned department and/or office by performing a variety of clerical and administrative tasks. The Administrative Specialist/Receptionist shall manage the physical office and greet visitors and clients as well as manage virtual needs of staff and clients within the company's digital infrastructure.
Responsibilities
- Answer phones and greet visitors
- Maintain office standards of organization and cleanliness
- Schedule appointments, organize agendas and maintain calendars
- Schedule and coordinate staff and other meetings
- Collate and distribute mail, respond to email inquiries
- Proofread, prepare communications, such as memos, emails, invoices, reports and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Manage accounts and perform customer service assistance to staff & clients
- Manage online website and client database systems
- Monitoring employee and staff attendance
- Prepare organization workflow documents, revise company procedure manuals
- Record and monitor employee timekeeping
- Prepare and maintain necessary documentation for employees
Requirements
- Proven work experience as a Administrative Specialist/Receptionist or similar role
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proficient in Microsoft Office Suite, Google Platform
- Excellent organizational skills and attention to detail
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to maintain professionalism in tense situations
- Firm understanding of company policy and procedures
- Ability to assess client needs and carry out services when needed
- Excellent writing and editing skills in English
- Hands-on experience with Content Management Systems (e.g. WordPress)
- Ability to meet deadlines
- Ability to perform high quality work with close attention to detail
- Excellent writing skills in English
- HS Diploma required
- Degree in Administration, Management or related field is a plus
