Human Resources Coordinator - (Houston Hybrid role only)

A Day in the Life of the HR Coordinator - About the role:
Administrative Support
- Provide full administrative support to the CPO and HR team with timely and seamless coordination in a frequently changing, fast-paced environment.
- Strategically manage and maintain complex calendar schedules across multiple time zones.
- Coordinate and arrange domestic and international travel, including detailed itineraries and agendas.
HR Operations Support
- Support the CPO with preparation of key deliverables such monthly board notes, quarterly business reviews and annual strategy meetings
- Assist in HR cycle planning and maintain the HR calendar, including scheduling meetings and tracking key deliverables and milestones.
- Oversee employment verification requests and support onboarding and offboarding processes, including background checks, managing terminations (voluntary and involuntary), processing separation agreements, conducting exit interviews and maintaining accurate records.
- Create and maintain a digital document management system for HR records.
Event Planning & Coordination
- Plan and execute HR events, employee team-building activities and off-site meetings.
- Collaborate with the Employee Experience team to help organize employee engagement events in the Houston office.
Vendor & Budget Management
- Manage select vendor relationships, including procurement processes, purchase order requests, invoicing, contract reviews and invoice approvals for HR-related purchases (e.g. branded gifts, anniversary gifts, promotional items, etc.)
- Process expense reports and timesheets and reconcile department expenses monthly.
Communication & Compliance
- Monitor the HR mailbox, addressing general inquiries or escalating them to the appropriate team member.
- Act as a liaise between HR and other departmental leaders including Finance, IT Legal and Marketing.
- Update Office Labor Requirements posters for Houston office annually.
Required Qualifications - About you:
Experience
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Teams; experience with Workday and DocuSign is a plus.
Communication & Interpersonal Skills
- Strong verbal and written communication skills, with the ability to interact effectively across all levels of the organization.
- Demonstrated tact, discretion, and professionalism when handling sensitive information.
Organizational Skills
- Ability to manage multiple priorities simultaneously while maintaining attention to detail in a fast-paced environment.
- Resourceful problem-solver who anticipates challenges and adapts quickly.
Highly Preferred
- 2–4 years of experience in human resources or a related field (Bachelor’s degree preferred).
