Job Overview
We are seeking a hands-on Administrative Manager who will be directly responsible for executing all aspects of our office operations. This role goes beyond traditional oversight—you will actively manage daily tasks, support our executive team (CEO, CAO, and Operations Manager), and assist our field crews as needed. Your contributions will be critical to ensuring that our operations align with our core values of punctuality, reliability, and quality service.
Key Responsibilities:
Office Operations
- Manage daily tasks including payroll, HR functions, and CRM system administration.
- Set up new customers, sending proposals, issuing invoices, and managing our main inbox and phone line.
Executive & Field Support
- Provide hands-on support to the CEO, CAO, Operations Manager, and field crews with a variety of administrative tasks.
- Serve as the primary point of contact for customer inquiries, ensuring that every interaction reflects our commitment to excellence.
Systems & Process Improvement
- Assit in implementing and maintaining streamlined Standard Operating Procedures (SOPs) to boost efficiency.
- Optimize our digital tools—Google Workspace, QuickBooks Online, Zapier and others—to enhance workflow automation and organization.
Customer Service & Communication
- Deliver exceptional customer service by ensuring all communications and interactions uphold our standards of quality and punctuality.
- Engage directly with customers, treating every interaction with the care and attention as if it were for our own family.
Requirements
- Minimum of 3 years’ experience in an administrative or office management role within the landscape or construction industry.
- Extensive experience using Google Workspace and QuickBooks Online, with a strong background in managing payroll, HR, and CRM systems.
- Proven hands-on experience with day-to-day office operations in the landscape or construction industry.
- Ability to work independently with minimal oversight, demonstrating high resourcefulness, well organized and meticulous attention to detail.
- Exceptional interpersonal and communication skills, with a strong commitment to outstanding customer service.
- A proactive, positive mindset with a passion for continuous improvement and process optimization.
Work Schedule
- Full-time, in-office position from Monday to Friday, 8 AM to 5 PM.
- Opportunity to transition to a hybrid role based on performance and demonstrated capability.
