As a Client Service Specialist, you’ll be a cornerstone of our client experience. Key Responsibilities:
As a Client Service Specialist, you’ll be the dependable connection between our clients and advisors, ensuring every interaction is supportive, seamless, and in alignment with our mission. Your role includes:
- New Business & Account Management: Facilitate new account setup and administration, including processing ACAT transfers and ensuring seamless transitions of assets under management (AUM). Coordinate with clients, advisors, and custodians to manage account funding, transfers, and updates while keeping clients informed of progress.
- Client Service & Relationship Building: Assist clients with service requests, ensuring accuracy and care with each interaction, from document verification to regular account updates. Bring personal service and magic into each client interaction.
- Data Integrity & CRM Mastery: Maintain accurate client records with a specific focus on AUM data integrity, including portfolio updates and account transfer tracking, leveraging CRM tools to support client relationships and operational insights.
- Pre- & Post-Appointment Preparation: Support advisors by organizing essential client documents, preparing for meetings, and ensuring each post-appointment follow-up adds value to the client experience.
- Reporting & Operational Insights: Produce data-driven reports for team meetings, manage closed business records, and help refine operational efficiencies that elevate our service
What We’re Looking For:
We’re looking for an organized, motivated, and client-focused individual who thrives in a dynamic environment. The ideal candidate will bring:
- Prior experience with ACAT processes, new account setup, and administration tied to AUM is preferred. Familiarity with managing custodial platforms and account transfer systems is a plus.
- Professional experience in client services or a similar role with a focus on delivering detailed, high-quality service.
- Detail-oriented approach to handling client information, maintaining accuracy, and adapting to priorities as they arise.
- High proficiency in CRM systems and Microsoft Office Suite, with a desire to learn and leverage technology for efficiency.
- Positive, resilient attitude with a proactive mindset that thrives on helping others succeed. And a passion to create memorable client interactions and experience.
