Job Summary :
ProStaffing, a leading staffing firm, is seeking an experienced Office Manager for a logistic company located in Conover, NC. The Office Manager is responsible for overseeing administrative functions, payroll reconciliation, invoicing, compliance, and financial reporting. This role requires a highly organized and detail-oriented individual with experience in employee management, financial reconciliation, and compliance with state policies. The Office Manager will supervise a team handling onboarding, terminations, training, invoicing, and customer relations to ensure smooth daily operations.
Key Responsibilities :
Employee Onboarding, Terminations, and Training :
Oversee and perform employee onboarding and termination processes.
Ensure proper training for administrative staff and site managers.
Handle any payroll or employee changes as required.
Invoicing & Accounts Receivable :
Process invoices in the internal system and external platforms (Ariba, Coupa).
Manage and process PA invoices separately, ensuring accurate sales tax recording.
Follow up on outstanding Accounts Receivable to maintain a steady cash flow.
Reconcile and record credit card purchases weekly.
Generate manual adjustments for invoices or payroll discrepancies.
Payroll Management & Compliance :
Reconcile payroll before submission, including commission calculations, bonuses, and travel reimbursements.
Review payroll deductions and ensure correct journal entries and wire transfers.
Maintain accurate vacation records beyond the Questco system.
Ensure compliance with state policies and procedures for employees.
Work with attorneys on employee-related issues when necessary.
Report and maintain records for Worker’s Compensation claims and annual audits.
Financial Reconciliation & Reporting :
Reconcile monthly bank statements.
Generate weekly Site-Level P&Ls and an overall company P&L.
Record and pay sales tax for applicable states, ensuring timely reporting.
Generate journal entries for wages, travel expenses, insurance, and deductions.
Pull financial data for insurance renewals and annual tax filings.
Operational Support :
Order supplies as needed for operations.
Schedule employee travel, including airfare, hotel accommodations, and per diem calculations.
Set up and maintain new customer accounts in the FB and Sage systems.
Set up and maintain pricing in the FB system.
Maintain company tax records and coordinate with accountants for year-end reporting.
Generate 1099s at year-end.
Process weekly AP checks and ensure timely vendor payments.
Qualifications & Skills :
Proven experience in office management, payroll reconciliation, and financial reporting.
Strong knowledge of invoicing systems, including Ariba and Coupa.
Familiarity with payroll processing and state-specific compliance regulations.
Proficiency in accounting software and financial reconciliation tools.
Excellent organizational, multitasking, and problem-solving skills.
Strong attention to detail and ability to analyze financial entries for errors.
Ability to work independently and collaboratively in a fast-paced environment.
Education & Experience :
Bachelor’s degree in Business Administration, Accounting, Finance, or a related field (preferred but not required).
Minimum of 3-5 years of experience in an office management or financial administrative role.
Work Environment :
Office-based role with occasional travel as required.
Must be able to handle multiple responsibilities and deadlines efficiently.
