Staff Accountant

Position Summary: At ProSys Fill, the Staff Accountant is an integral part of the Finance and Accounting Department. This role ensures we have accurate financial reporting, maintains customer accounts, and ensures we are in compliance with tax regulations across multiple states.

Key Responsibilities:

Multi-State Tax Compliance:

• Prepare and file state and local tax returns for multiple jurisdictions.
• Research, analyze, and interpret multi-state tax laws and regulations to ensure compliance.
• Ensure proper tax treatment of transactions across various states, including sales tax, use tax, and income tax.
• Manage and track state and local tax credits, incentives, and exemptions.
• Assist with tax audits and prepare supporting documentation.

Customer Credit Management:

• Review and analyze customer credit applications and credit limits.
• Monitor customer accounts for credit risk and outstanding balances.
• Work closely with the collections team to resolve overdue accounts and minimize bad debt.
• Maintain accurate records of customer credit agreements and payment terms.
• Provide reports and analysis on customer credit performance and aging.

Accounting and Financial Reporting:

• Assist in month-end and year-end close processes, including journal entries and reconciliations.
• Reconcile general ledger accounts, including accounts receivable and accounts payable.
• Assist in preparing financial statements and reports for management.
• Support in preparing and analyzing budgets, forecasts, and variance reports.

Infor XA System Management:

• Utilize Infor XA (or ERP system) for accounting transactions, invoicing, and reporting.
• Ensure accurate data entry and system updates in Infor XA.
• Assist with system improvements and troubleshooting issues within Infor XA related to accounting functions.
• Collaborate with IT and other departments to optimize the use of Infor XA for financial reporting.

Cross-Functional Collaboration:

• Collaborate with other departments (sales, finance, and operations) to ensure smooth and efficient operations related to customer accounts, tax compliance, and financial reporting.
• Support ad-hoc projects and requests from senior management and other teams.

Qualifications:

Experience:

• Minimum of 2-4 years of experience in high level accounting, with verifiable experience filing multi-state taxes and customer credit management.
• Strong proficiency in Infor XA (or similar ERP systems) for accounting and financial management preferred.
• Knowledge of state and local tax regulations and experience preparing multi-state tax filings (sales and use/revenue) a must.

Required Skills:

• Strong knowledge of GAAP, tax laws, and accounting principles.
• Proficiency with MS Excel and other accounting software.
• Excellent organizational and time-management skills.
• Strong attention to detail and accuracy.
• Ability to analyze financial data and provide actionable insights.
• Strong communication skills, both written and verbal.
