Protected Harbor is a full-service IT firm and Managed Service Provider (MSP) specializing in IT services, cybersecurity, and infrastructure management. With a dedicated team of 60 employees, including 35 based in India, we are committed to delivering high-quality IT solutions to our clients. We are seeking a skilled and detail-oriented Bookkeeping Manager to oversee our Collections, invoicing and general financial transactions.
The position will be responsible for overseeing collections, payroll, billing, and miscellaneous administrative functions. The ideal candidate will be proficient in QuickBooks and have experience working with others, collections, processing payroll, managing contract renewals, etc. This role is integral to maintaining financial efficiency, accuracy, and financial operations.
Key ResponsibilitiesFinancial Management:
· Management of a department of 2-3.
· Track, invoice and process financial transactions to ensure accuracy and compliance.
· Manage billing for project invoices and monthly client accounts.
· Import and code credit card and bank transactions.
· Process payroll using a payroll service and import payroll transactions.
· Complete and submit 401K census forms.
· Set up various credit card and bank payments.
· Review month-end billing for accuracy.
· Run and analyze month-end reports for the COO.
· Work to develop and manage budgets, financial forecasts, and cash flow reports.
· Prepare monthly, quarterly, and annual financial statements and management reports.
· Ensure compliance with financial regulations, tax laws, and company policies.
· Coordinate with external accountants, auditors, and tax professionals.
Administrative Operations:
· Maintain and improve internal administrative processes and policies.
· Track contracts, vendor management, and procurement.
· Track renewal dates to ensure compliance with business licenses, insurance policies, and corporate filings.
· Input HR functions, including employee onboarding, record-keeping, and benefits administration.
· Book travel arrangements for technicians.
Qualifications & Skills
· Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
· 5 years of experience in financial management and administration, preferably in an IT services, MSP, or technology company.
· Proficiency in QuickBooks (required).
· Knowledge of accounting principles, financial reporting, and compliance.
· Experience in payroll processing and financial reporting.
· Proficiency in Excel.
· Strong analytical and problem-solving skills.
· Attention to detail and ability to analyze financial data.
· Excellent organizational and communication skills.
· Ability to work independently and manage multiple priorities in a fast-paced environment.
