Job Description:

As an Office Manager, you will provide a variety of clerical and administrative support tasks related to our clients, technical support, and executive team. You will collaborate and work with all the team members to ensure exceptional service delivery.

Responsibilities:

  • Answer calls from existing or new customers, create support tickets and/or service requests (~10 calls a day)
  • Provide administrative support to our technical support team by coordinating schedules, appointments, and client communications
  • Place purchase orders with vendors and keep the project manager and the service manager to date on any shipping delays
  • Manage administrative tasks, including scheduling, correspondence, and office and kitchen supplies inventory
  • Manage vendor escalations, get RMA approvals, and handle inbound and outbound shipping tasks
  • Track and handle clients and internal yearly subscription and license renewals
  • Manage client expectations to ensure that the team can deliver on what is promised
  • Make sure nothing slips through the cracks, and if it does, plan to stop it from happening again
  • Support the Account Manager in creating quarterly technical business reviews
  • Maintain accurate and up-to-date client records and documentation
  • Some design, social posting, or website editing tasks (assisting the full-time web designer on staff)
  • Participate in ongoing training and development opportunities to enhance your skills and knowledge
  • Light account receivables, bookkeeping, and HR tasks

Required Skills

  • Strong organizational, time-management, and administrative abilities with attention to detail.
  • Excellent communication skills, both verbal and written.
  • Experience and knowledge of working with the Microsoft 365 platform (Word, Excel, PowerPoint, Teams, OneDrive, SharePoint)
  • Problem-solving, process optimization skills, and a proactive approach to challenges.
  • Presentable, energetic, and personable.
  • Excellent Google-Fu.

Nice to Have

  • Familiarity with a ticketing system and/or CRM system and QuickBooks Online
  • Experience handling Technical Service Tickets
  • Experience working for a Managed Service Provider (MSP) or IT Support Business

Job Type: Full Time, 100% in-person at our Jefferson Park office

Schedule: Monday to Friday, 8:30 am - 5 pm
