JOB TITLE: Assistant Manager
GENERAL DESCRIPTION: To lease apartments at the highest effective rent level possible, while maintaining a strong customer service/satisfaction philosophy. Maintain a courteous and helpful attitude to residents and potential residents. Respond to resident requests promptly and courteously and to help resolve resident issues. Ensure optimal monthly rent collection.
The Assistant Manager works closely with the Community Manager in overseeing the daily site operations and achieving the financial goals of the community. Must have the ability to assume responsibility for the community in the Community Manager’s absence.

QUALIFICATIONS:
A. EDUCATION: High school diploma or equivalent

C. REQUIREMENTS

§ Ability to work standard community hours, including weekends, with capability to work an additional fifteen (15) minutes daily prior to office opening

§ Dexterity to complete paperwork and operate office equipment
§ Typing proficiency required to complete lease related paperwork and resident correspondence

D. KNOWLEDGE: Sales, Marketing, Customer Service, Bookkeeping.
E. EXPERIENCE Prior sales experience is a plus, but not required. At least one year experience in property management or real estate.
RESPONSIBILITIES:
1. Maintain all resident information on computer systems including new resident information from application, move-ins, move-outs, building transfers, notices to vacate, bond reports, etc.
2. Assist in collection of rents and preparation of receipts. Deposit all receipts daily.
3. Maintain accurate resident records; update on daily basis all rents, deposits and fees received by residents. Issue appropriate notices when necessary (i.e. late payment, eviction notices and returned checks).
4. Update daily reports concerning notices to vacate vacancy reports, activity reports, etc. and provide information to the Community Manager. Organize and file all applicable reports, leases and paperwork.
5. Maintain professional and courteous communication with the residents, applicants and representatives of other companies.
6. Accept service requests from residents and route to maintenance for prompt processing
7. Communicate with attorney and Community Manager regarding legal proceedings.
8. Answer telephones when needed to assist residents and prospective residents and support team members in showing apartments.
9. It is the Bookkeepers responsibility to know and adhere to all federal, state and local laws, as well as all policies and procedures contained in the manuals issued by Provence Real Estate or as otherwise communicated (verbally or in writing) to the community team.
10. Keep all logs up to date including, but not limited to, deposit log, and bad debt collection.
11. General administrative duties such as filing, typing and faxing are required.
12. Participate in achieving the goals set forth by Provence Real Estate to achieve resident satisfaction and resident retention
13. Prepare all monthly reports needed by this position.
14. Order supplies within established budgeted guidelines, following purchase order procedures
WORK SCHEDULE: Assistant Managers will work 40 hours per week (Part time will be no more than 29 hours), but hours may be extended due to resident events, emergency situations, and peak leasing periods. Assistant Managers are expected to work at least two weekends per month. The Assistant Manager will always work the first weekend of the month during the peak period of rent collection.
