TRAINING AND VOLUNTEER COORDINATOR

Reports to: Human Resources Manager

 

Major Functions:  Responsible for leading, implementing, and managing the training program for staff and volunteers to ensure compliance with licensing regulations, program quality standards and professional development goals, as well as manage the recruitment, onboarding, and oversight of childcare volunteers to support the Providence House mission.

 

Staff and Volunteer Training and Compliance

  •  In coordination with HR and the Compliance and Quality Manager, identify and recommend strategies, standards, and resources to develop a staff and volunteer training program that assures compliance with all mandated requirements of regulatory entities while maintaining fidelity to Providence House program standards with special attention to quality, compliance, and innovation. 
  • Know and be familiar with rules pertaining to training requirements: ODJFS 5101:2-5-13(A) (23) (a) and 5101:2-9-03; CARF 1.l.5.b; 1.l.7.f, 1.l.10.f.g, 2.A.27 (CYS), and 2.A.22 (BH); and OhioMHAS 5122:26-06(l)
  • Attend monthly Education Team meetings to ensure compliance in all trainings related to licensing requirements, agency policies, and staff development goals, including responsive corrective action training to address noncompliance or policy changes. 
  • Ensure staff and volunteers are notified of training opportunities and trained in accordance with the licensing requirements and agency policies and procedures.
  • Research and develop annual educational programming utilizing best practices related to child maltreatment, trauma, and public health and other topics as identified by HR and the Education Team.
  • Coordinate license-required and compliance-driven training for all staff and childcare volunteers including, but not limited to, CPR, First Aid, and AED training for adults and children/infants, Alternatives to Restraints training, ODE Civil Rights, Qualified Residential Treatment Program (QRTP), Self-care and Suicide Prevention.
  • Establish and communicate a quarterly training schedule for Providence House childcare providers and volunteers to maintain ODJFS certifications. Research and schedule courses and trainers and conduct training for childcare staff and volunteers as appropriate. 
  • Ensure required training hours (52 in first year, 24 in all subsequent years) are completed in accordance with mandated deadlines and anniversaries. Communicate with staff and supervisors who are at risk of being non-compliant.  Track staff, volunteer, vendor and contractor training hours in UKG to ensure compliance and send reminders progress toward yearly training requirements. 
  • Ensure all interns, vendors and contractors providing regular services around children are receiving all required training.
  • Act as the liaison with contracted and internal trainers to schedule sessions, collect RSVPs, host and take attendance for all trainings.  Ensure knowledge assessments or certificates are obtained, filed and uploaded in UKG.
  • In conjunction with human resources ensure all new hires (staff and childcare volunteers) are entered into UKG Learning Management System and are assigned training as required for orientation. Use UKG to track completed training hours and upload external certificates.
  • Create and maintain employee and childcare volunteer training files to ensure that all required documentation is available and organized for audit purposes and certification reviews. 
  • Support Quality and Compliance Manager in audits and reviews of logs, records, or activities that must meet regulatory standards and develop training to address any noncompliance finding for improvement.
  • Collaborate and partner with cross-functional managers and teams within the organization to assure quality and compliance.
  • Complete and maintain training required to be included in ratio on the childcare floor.
  • Become a certified American Red Cross Trainer and hold scheduled monthly training classes for staff and volunteers.
  • Obtain Sysco Serv Safe Level 2 certification.

Volunteer Management

  • Support inquires for childcare volunteers from website, email, or phone calls. Track inquiries and provide information for the application process. Route inquiries for done in a day or event volunteers to External Relations.
  • Lead volunteer information sessions to effectively support and recruit childcare volunteers.
  • Coordinate all aspects of engagement for childcare volunteers including screenings, onboarding, and mandatory training for compliance in conjunction with HR. 
  • Conduct quarterly Childcare Volunteer meetings at minimum to keep volunteers abreast of changes. Serve as ongoing point of contact for volunteer questions or concerns.
  • Coordinate training for all childcare volunteers to be included in ratio. Inform volunteers of training opportunities. Ensure all mandated volunteer training and hours on the childcare floor are logged in UKG and they are meeting training requirements.
  • Assess childcare and student service-learning volunteer opportunities to make sure they are age eligible, and we have available projects for them to complete.
  • In conjunction with Human Resources plan an annual volunteer appreciation celebration.

General Duties

  • Be culturally competent and supportive of diversity in both service to team members, volunteers, and clients and professional interactions.
  • Attend and assist with the organization and execution of Providence House special events including Annual Luncheon, Deck the House, and other speaking engagements or fundraising events as assigned.
  • Participate in other project or duties as assigned.

Required Education and Experience

  • Bachelor’s degree in education, social work or related field preferred.
  • 3-5 years of related work experience in education, training, or curriculum coordination preferred.
  • Demonstrated experience in developing training protocols and technical materials for training.
  • Experience in UKG or other HRIS and LMS systems preferred.
  • Skilled trainer with excellent presentation and public speaking skills
  • Must be CPR and First Aid Certified Trainer within 90-day probationary employment period
  • Obtain Sysco Serv Safe Level 2 certification within 6 months of employment.
  • 21 years of age minimum
  • Must pass background check, drug screen, have a valid driver’s license and reliable transportation.

 

 

Position Type/Expected Hours of Work

  • This is a full-time, non-exempt position. Typical hours of work are 40 hours per week, Monday – Friday.  Occasional evening and weekend work may be required as job duties demand.

 

Work Environment:

  • This job operates in a professional office environment. In order to successfully perform the essential functions of the job, this role routinely uses standard office equipment not limited to but including computers, phones, fax machine, printer/copier/scanner, and surveillance cameras.
