We are looking for a detail-oriented and proactive Administrative Assistant with expertise in accounts payable and insurance coordination to join our dedicated team.

This role is crucial in ensuring seamless financial operations, compliance with state licensing, and accurate insurance verification—helping us maintain our commitment to excellence.

Key Responsibilities General Administrative Support

  • Maintain organized records and electronic filing systems .
  • Assist with data entry, reporting, and document preparation .
  • Support management with special projects and day-to-day operations.
  • Answer phones and handle office correspondence professionally .

Accounts Payable & Invoice Processing

  • Review, verify, and process invoices accurately.
  • Monitor payment schedules to ensure on-time vendor payments.
  • Generate accounts payable reports for management.
  • Vendor & Expense Management

  • Communicate with vendors regarding billing inquiries.
  • Maintain vendor records and tax compliance (W-9s, 1099s).
  • Track facility expenses to assist in financial oversight.
  • Insurance Eligibility & Coordination

  • Verify client insurance coverage before admission and at regular intervals.
  • Keep management informed of changes in client coverage.
  • Ensure all required documentation is in place for smooth claims processing.
  • Assist clients with insurance-related questions when needed.
  • State Program Compliance & Billing

  • Ensure compliance with state programs and tracking requirements.
  • Manage and report billing data to management in a timely, organized manner.
  • What You Bring to the Table

    Education & Experience :

  • High school diploma required; degree in a related field preferred .
  • Prior administrative, accounts payable, or bookkeeping experience .
  • Experience in insurance verification and working with providers .
  • Skills & Competencies :

  • Proficiency in QuickBooks & Microsoft Office Suite (Excel, Outlook, Teams).
  • Detail-oriented with strong organizational and problem-solving abilities.
  • Ability to multitask in a fast-paced environment .
  • Excellent communication and interpersonal skills .
  • High level of discretion when handling financial and insurance data.
  • Bonus Points For :

  • Experience with insurance verification systems & payer portals .
  • Basic accounting knowledge and financial reporting experience .
  • Prior experience in healthcare accounting .
