Job Title: Neuropsychology Office Receptionist
Job Summary:
PsychNW, PC is a private practice neuropsychology clinic with four locations across Oregon; providers also consult on complex forensic matters with numerous private attorneys/federal agencies/entities across the country. PsychNW specializes in providing specialty care to patients with complex neurodevelopmental, psychiatric, and cognitive conditions. Our work is essential in supporting individuals with significant mental health needs, and we are looking for a front desk professional who can thrive in a fast-paced, emotionally demanding environment while maintaining compassion and professionalism.
As the Office Receptionist, you will be the first point of contact for patients, families, and providers. Your role will include answering phones, scheduling appointments, coordinating referrals, and providing essential office support. You will interact daily with individuals who may be experiencing significant cognitive, emotional, and psychological challenges, requiring you to remain calm, patient, and solution-oriented.
This position is not for the faint of heart—it requires someone with thick skin, strong boundaries, and the ability to de-escalate stressful situations. Key Responsibilities:
Front Desk & Administrative Support:
- Answer our main phone line and serve as the primary point of contact for all patient inquiries.
- Manage referrals and records within the electronic health record (EHR) system with accuracy and efficiency.
- Coordinate external referrals for neuropsychological evaluations and behavioral health services.
- Provide general office support, including scanning, faxing, and handling medical documentation.
- Ensure all patient information is handled confidentially and in compliance with HIPAA regulations.
- Interact daily with patients who may be distressed, anxious, or cognitively impaired, using de-escalation techniques when needed.
- Assist patients in understanding appointment processes, required paperwork, and clinic policies.
- Work closely with neuropsychologists and administrative staff to ensure smooth clinic operations.
Customer Service & Office Environment:
- Maintain a welcoming, professional, and organized front office space.
- Provide clear and compassionate communication, even in challenging situations.
- Adapt to the fast-paced, ever-changing needs of the clinic while maintaining attention to detail.
- Act as a resource for patients and families, ensuring they feel supported in accessing services.
Skills & Qualifications:
Knowledge of:
- Medical office procedures, preferably in a mental health or neuropsychology setting.
- Electronic Health Record (EHR) systems and appointment scheduling.
- HIPAA regulations and best practices for patient confidentiality.
- Basic crisis management techniques to handle difficult patient interactions.
Skills in:
- Remaining calm and professional under pressure—this role involves handling frustrated, anxious, or overwhelmed patients.
- Strong communication skills—both verbal and written—with the ability to de-escalate situations when needed.
- Multi-tasking and prioritizing work in a fast-paced environment.
- Problem-solving and adaptability—thinking quickly to meet the needs of both patients and providers.
- Working efficiently with technology, including EHR systems, Microsoft Office, and multi-line phone systems.
Ability to:
- Handle emotionally intense situations while maintaining compassion and professional boundaries.
- Balance multiple priorities while keeping the front office running smoothly.
- Work effectively with a diverse patient population, including those with neurodevelopmental disorders, psychiatric conditions, and cognitive impairments.

Preferred Experience & Education:
- 1 year of experience in a medical, mental health, or behavioral health office (preferred but not required).
- High school diploma or GED required.
- Experience with EHR systems and patient scheduling is a plus.
