Overview
We are seeking a highly organized and proactive Physical Therapy Administrator to manage the daily operations of our physical therapy clinic. The ideal candidate will support both clinical and administrative functions, ensuring seamless scheduling, billing, compliance, patient satisfaction, and overall clinic efficiency.
Key Responsibilities:Administrative Operations
- Oversee front desk operations, patient intake, and appointment scheduling
- Maintain and update patient records in the EMR system
- Ensure accurate documentation and compliance with HIPAA regulations
- Manage supply inventory and coordinate with vendors for procurement
Billing & Insurance
- Coordinate billing and collections with internal/external billing teams
- Verify insurance benefits and authorizations for services
- Manage prior authorization processes for therapy treatments
- Resolve insurance claim issues and follow up on unpaid claims
Staff Coordination
- Serve as the liaison between therapists, staff, and patients
- Assist in hiring, onboarding, and training new administrative staff
- Coordinate staff schedules and ensure coverage at all times
- Organize team meetings and track performance metrics
Patient Experience & Communication
- Provide excellent customer service to patients and families
- Address patient inquiries, complaints, and feedback
- Track and improve patient satisfaction metrics
- Implement retention and follow-up systems for patient care
Compliance & Reporting
- Ensure clinic adherence to federal, state, and payer regulations
- Prepare reports for leadership on productivity, revenue, and staffing
- Support audits and maintain accurate records for compliance
Responsibilities
- Greet patients and visitors in a friendly and professional manner, ensuring a positive first impression.
- Manage patient appointments, including scheduling, confirming, and rescheduling as necessary.
- Maintain accurate patient records and ensure compliance with health information management standards.
- Provide medical administrative support by processing patient intake forms and verifying insurance information.
- Answer phone calls with proper phone etiquette, addressing inquiries and directing calls as needed.
- Assist in the management of office supplies and inventory to ensure the office runs smoothly.
- Utilize health software for electronic health record management and appointment scheduling.
- Communicate effectively with healthcare providers regarding patient needs and appointment details.
- Understand medical terminology to assist in coordinating care for patients requiring services.
Experience
- Previous experience as a medical receptionist or in a similar role is preferred.
- Familiarity with health information management practices is highly desirable.
- Proficiency in office management tasks, including filing, data entry, and record keeping.
- Strong typing skills with attention to detail for accurate documentation.
- Knowledge of medical administrative support functions within a healthcare setting.
- Excellent phone etiquette and interpersonal skills for effective communication with patients and staff.
