SUMMARY:
The On-site Manager lives on-site and assists the Property Management Team with property curb appeal, basic functional utility and maintaining a quiet and safe community. The position requires between two and five hours per week, but additional time may be required from time to time. We offer a flexible schedule but ask for essential duties to be done regularly. The On-site Manager role is a required role by the State of California for all buildings with greater than 15 residential units. The On-site Manager is an employee of PTLA Property Management, a PTLA Real Estate Group company, and is subject to the company’s standard of ethics and professionalism. Professional discretion is a required attribute because, as a management company, we represent the interests of the building/community owner.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Daily inspection of all community grounds and facilities. Notify the Property Management Staff of any maintenance needs and issues.
- Clean exterior walkways and common areas, including removing all litter and debris from the building grounds, including city sidewalks, gutters and general marketing perimeter surrounding the building. Property Management Team should be notified of excess clean up.
- Clean property facilities, including, where applicable, laundry room(s), mailbox area(s), pool area(s), etc.
- Check and replace, or request replacement of, exterior lighting.
- Monitor trash and recycling to ensure scheduled pick-ups occur. Notify Property Management Team of repeat issues. Clean trash and recycling areas; break down oversized boxes, small furniture, and compact trash bin contents, as needed. Report large items to the Management Team.
- Keep inventory of general maintenance/cleaning supplies and notify Property Management Team of supplies needed.
- Ensure storage areas are always locked when not in use.
- Attend periodic onsite and teleconference meetings with Property Management Team.
- Attend annual safety training that may be required.
- Notify Property Management Team when tenants are not complying with rules and regulations. Notification should be timely and well documented, including tenant name(s), unit number(s), date, time, and details regarding the infraction.
- Serve as emergency contact; notify Property Management Team of safety issues and notify authorities of life-threatening issues (police, fire, etc.).
OCCASIONAL DUTIES & RESPONSIBILITIES:
From time to time, the following essential duties and responsibilities may be required, in addition to the duties outlined above.
- Maintain and update resident files and records in a computerized resident management system.
- Handle phone calls and inquiries with professionalism and excellent etiquette.
- Assist with regulatory and preventative maintenance unit inspections.
- Respond to emergencies issues including taking phone calls, contacting vendors, taking photos, writing preliminary incident reports, and reporting incidents to and following up with Property Management Team.
- Light landscape work, including, but not limited to pulling weeds, watering planters, and raking leaves.
- Deliver resident communication and legal documents/notices, as instructed by Property Management Team, in conformance with government and regulatory requirements.
- Monitor parking spaces, issue citations and request tow of cars that are improperly parked, abandoned or in spaces assigned to another resident. Additionally, audit that all income baring parking spaces are only used by persons with parking agreements for that space.
DUTIES NOT REQUIRED:
- Collect rent. May need to instruct tenants to deliver rents to the management office or through the online resident portal.
- Supervision of third-party maintenance contractors. Make the Property Management Team aware of maintenance related issues (i.e. incomplete or shoddy work). Notification should be timely and well documented in writing with supporting photos.
- Show or lease vacant units.
EXPERIENCE:
- Previous experience in property management or a similar role is preferred.
- Strong organizational skills with the ability to multitask and prioritize responsibilities.
- Excellent communication skills, both written and verbal.
- Proficient in using computer software for data entry and record keeping.
