Essential Functions
- Utilize Salesforce CRM to actively create and maintain dashboards, contacts, opportunities and data tracking.
- Formulate techniques for quality data collection to ensure adequacy, accuracy and legitimacy.
- Track and report relevant information related to partners from both internal and external sources, including alerts, news and social media sources.
- Provide high-level administrative support to the Vice President (VP) and Alliance Team.
- Prepare briefing reports on our partner companies based on data collected.
- Responsible for monitoring, creating and maintaining website content.
- Process all financial transactions (credit cards, invoices) and prepare reports as directed by the Director of Workforce Operation.
- Prepare and maintain data, reports and resource materials as directed by the Director of Workforce & Operations.
Additional Responsibilities
Data Management and Support
Support team members in the daily use of Salesforce.Work with the Alliances team to prioritize business and information needs.Locate and define new process improvement opportunities.Provide data capture and tracking from Book of Business and related activities.Operations
Provide support to the VP and Alliance team, including but not limited to :Calendaring, communications, proofreading.
Manage conference rooms and scheduling for Alliance team.Presentation and collateral material creation, refinement and support.Technical coordination and logistics.Securing space, refreshments, log-in / QR code for events, room preparation, meeting invites.Provide occasional support in calendaring and other administrative tasks to the Alliances team members.Budgetary management, including but not limited to creation / forecasting, reporting, tracking, expense coding, and purchasing.Provide technical and logistics support for :Book of Business, including Teams Management, scheduling, recording, process and data capture.
Other projects as assigned.Other Duties
Participate in Alliances activities and related PRF activities such as workshops, social and network gatherings, Community Engagement events, and leadership events with the specific intent to network, build relationships and make connections within the Alliances clientele and Greater Lafayette.Assist Manager Alliances with event creation, planning and execution with specific support to all logisticsMaintain effective relationships with peers and contacts at partner companies.Participate in the creation and fulfillment of Community Engagement activities and events.Supervise data intern (analyst) to produce reports, intelligence and opportunities for the Alliances team.Other duties as assigned.Skills, Knowledge and Expertise
Strong knowledge of Salesforce or CRM preferred.Knowledge of Microsoft Office Suite required, including proficiency in Outlook, Word, Excel, and PowerPoint.Ability to create reports and PowerPoint presentations.Excellent written and verbal communications skills.Ability to use good judgment, diplomacy, maintain confidentiality, and to exercise discretion on various operational matters.High level of skill in composition, grammatical editing and proofreading are required.Must be a motivated, adaptable team player with the ability to exercise initiative and to work well with others.Strong organizational skills and ability to handle multiple projects necessary.Extensive knowledge of PRF and University policies and procedures is desirable.Understanding of the mission of PRF and Purdue.Must have strong problem solving and decision-making skills, as well as attention to detail.Must be able to work independently, requiring minimal supervision.Ability to work some evenings and weekends.Ability to anticipate the Senior Vice President’s needs and proactively bring together appropriate people and resources to support the Senior Vice President in addressing issues.Required Education / Experience and Benefits
Associate's degree required.Bachelor's degree preferred.An equivalent combination of education and experience may substitute for a degree.Minimum three years' experience in a responsible, high-level administrative position required.Benefits Summary for eligible employees :
