POSITION OVERVIEW
The Office Manager is self-directed in office administration, team and customer communication, and support to the Mosquito Squad's field team, to achieve business goals. Essential responsibilities include management of the customer service team, with field team communication and coordination. This role also ensures active social media development, promotion, and engagement, while delivering an organized and efficient operation of the main business services. The ability to identify, prioritize, and complete both routine and self-directed tasks is essential to success. Proficiency in oral and written communication and use of Microsoft Office Suite or similar programs is required. This full-time role is performed in an office environment. Office administrative experience is required.

Job Summary & Characteristics
The focus of this position is working with and through others, building and maintaining relationships, and working closely and accurately within established guidelines to achieve business goals. There is a need for an effective communicator, someone who can stimulate and motivate others while being aware of and responsive to their needs and concerns. The person in this position must be friendly and genuinely interested in the business, agenda, and needs of others, including the company, the team, and the company's customers. A persuasive, teaching style of communication is required to communicate the company's policies, programs, and systems. A faster-than-average pace will be the norm for this position. Detail work is a major focus of the job, and those details need to be handled quickly, correctly, and efficiently. This portion of the work will often focus on relationships with others; correct handling of details dealing with others is necessary to maintain and grow relationships. While managing others, following up carefully, closely, and cheerfully is required to ensure both correct work and maintenance of the relationships. Necessary corrections must be made in a constructive, supportive manner. As time is usually a factor, the work must be done on time, as well as correctly. In general, this is a position where guidelines, structure, and established policies must be followed fairly closely, while working with and for others.

Primary Duties:

  • Perform routine tasks in support of the business operation, while identifying areas of need to improve service and business performance to results. 
  • Lead and manage the customer service team to deliver positive, effective communication and service workflow to customers and team members.
  • Proactively address priority areas of need in business operations, to develop, support, and implement effective business systems, processes and policies. 
  • Perform and supervise clerical office administrative duties involving correspondence, financial transactions, filing and document storage/retention. 
  • Serve as a receptionist for walk-in office clients and team members; assist, serve and support as needed.
  • Answer phones in a timely, courteous, and professional manner. Develop effective communication skills in team members.
  • Identify, prepare content, post, and respond on social media platforms on behalf of the business, in support of the social media policy. 
  • Manage and schedule appointments on behalf of the business and owner.  


Requirements

Skills/Abilities: 

  • Ability to type at least 45 words/minute. 
  • Ability to compose, create and capture interesting social media posts.
  • Proficiency in verbal and written communication skills.
  • Effective customer service skills with follow-up accountability.
  • Effective organizational skills and attention to detail. 
  • Effective time management skills w/ability to meet deadlines consistently.
  • Proficiency with Microsoft Office Suite or related software programs. 

Knowledge/Experience: 

  • High School Diploma or GED - Required
  • Minimum of 2 years of office administration/business management experience - required
  • Associate's Degree in office management/business administration - preferred
