Location: This position is a hybrid role, with 3 days onsite at our Home Office in Chicago (River North), IL.

Position Summary

We are seeking a detail-oriented, proactive, thoughtful, and highly organized Legal Administrative Assistant to provide comprehensive administrative support to our Legal Department. In this newly created position reporting directly into our Chief Legal & Risk Officer, you will be responsible for assisting the legal department with a variety of administrative tasks, such as formatting and editing contracts and reports, organizing and maintaining electronic files, planning and scheduling meetings, corresponding with various internal and external stakeholders, following up on requests for information, and ensuring the overall day-to-day operation of the department. This position requires exceptional written and verbal communication skills, a strong attention to detail, and the ability to handle sensitive matters with discretion and poise.

Position Responsibilities May Include, But Not Limited To

  • Provide general administrative assistance to the legal team, including scheduling meetings, managing calendars, and arranging travel/meeting logistics.
  • Prepare and proofread documents, presentations, and correspondences, ensuring compliance with legal formatting and confidentiality standards.
  • Organize and maintain legal files, ensuring proper filing and retrieval of documents, both physical and electronic, including organizational, contractual, and operating licenses.
  • Handle and prioritize incoming calls, emails, and correspondences, directing matters to appropriate team members.
  • Assist in the creation, editing, and filing of legal documents such as contracts, letters, agreements, corporate filings, and other legal materials in compliance and within deadlines.
  • Respond to and follow up on internal requests of the legal department and comply with department guidelines for contract review and comments, issuance of litigation holds, etc.
  • Maintain a document management system and ensure all legal records are properly and securely organized, indexed, and archived.
  • Assist General Counsel and liaison across external counsel and internal associates to gather information and process claims including insurance, EEOC, ADA, injury, etc.
  • Coordinate meetings, phone calls, and conferences as needed across various stakeholders, taking meeting minutes and following up on action items.
  • Conduct basic legal research, as requested and per the direction of the team, and provide summaries to support ongoing legal matters.
  • Support the team with various legal projects, including compliance and regulatory filings.
  • Ensure confidentiality of sensitive legal matters and handle documents and communications with a high level of discretion.
  • Assist in maintaining compliance with internal processes, legal regulations, and corporate policies.
  • Assist with special projects or other projects or duties as assigned.

Required Skills And Experience

  • Bachelor’s degree or work equivalent in a related field such as business or legal studies.
  • Minimum of 3 years of experience as a Legal Assistant, Paralegal, or Executive Administrative Assistant supporting an Executive team member and/or confidential function such as compliance, HR, Legal, etc.
  • Prior legal assistant or paralegal experience as a transaction or corporate practice preferred.
  • Strong written and verbal communication skills, including knowledge of proper formatting specifically across legal documentation.
  • Ability to manage and properly communicate with stakeholders, C-suite, Directors, and external professionals or counsels in a concise and professional manner.
  • Comfortability when operating within a fast-paced, dynamic environment.
  • Highly proficient in MS Office, including Word, Excel, and PowerPoint.
  • Extremely detail oriented and organized.
  • Ability to multi-task and prioritize across several projects and tasks.
  • This position must pass a post-offer background check.

Physical Requirements

Physical activities on a continuous basis, sit at desk for a long period of time; frequent use of telephone/video conferencing and write or use a keyboard to communicate through written means. Some walking and lifting, up to 25 lbs. may be required. The noise level in the work environment is typically low to moderate.
