We are excited to announce that at this time we are looking for an Operations Administrator to join our team of over 10,000 global field personnel supporting our pharmaceutical and biotech clients.
The Operations Administrator plays an integral role in the customer service and organizational strength of our company. The Operations Administrator will provide day-to-day administrative and onsite operational support for client-dedicated Contact Center team and our Meeting and Training Conference Center.
Hybrid Role: Office hours M-F 8:00am - 5:00pm ET in local office, Durham, NC.
Responsibilities include:
Provide exceptional customer service; greeting visitors and clients and providing general administrative support for client-dedicated onsite teams.
- Coordinate facilities on-boarding for new employees and client leadership (badge identification, workstations, parking permits).
- Provide daily operational support for all office-based employees, customers, and activities, including management of equipment requests, shipping and delivery needs, ordering of supplies and facility-related issues.
- Coordinate with Facilities, Security, IQVIA Real Estate and others to ensure equipment is working appropriately, physical spaces are in good repair, and client privacy is maintained.
- Prepare and distribute activity reports to customer, operations staff, and management as needed.
- Maintain all project documentation including all service protocols, records and reports according to the scope of work and SOPs.
- Update and maintain internal databases, tracking systems and project plans.
- Partner with onsite staff to maintain dedicated conference rooms and visitor offices, manage calendar and provide meeting logistics support.
- Serve as back-up to operations support staff as needed.
- Support positive, customer-centric culture.
- Champion process innovation, changes, and special initiatives.
- Maintain secure, safe, and clean environment for staff and visitors.
- Assist Operations leadership with other special projects and tasks, as assigned.
Job Requirements
- Bachelor’s Degree preferred.
- 4 years related experience, preferably in call center environment.
- Must be customer focused and have excellent interpersonal, written, and oral communications skills.
- Ability to establish and maintain effective working relationships with coworkers, managers, and clients.
- Strong time management and planning skills.
- Fully competent in MS Office Suite (Word, Excel, PowerPoint).
- Working knowledge of audio-visual equipment located in the conference rooms.

The potential base pay range for this role is $51,000-$65,000 annually. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.Salary : $51,000 - $65,000
