The Aviation Project Administrator is a professional who maintains the organization of the project team and specializes in facilitating, reporting, and analyzing projects under the supervision of a project manager.
This role requires great responsibility and proper time management due to the constant monitoring and control of all project variables.

Summary of Responsibilities:
The Project Administrator must effectively collaborate with Project Managers, Project Engineers, and Superintendents regarding contract documents, change orders, contract modifications, and approvals.
They must also communicate with accounting to ensure all subcontract documents are fully executed prior to payment and collaborate with subcontractors during pre-construction, construction, and close-out.
Project Planning:
- Ensure insurance and licenses are valid and up-to-date.
- Set Project in Viewpoint.
- Set up and maintain project files.
- Assist with subcontractor bid list.
- Assist with bid solicitation notice.
- Advertise bid solicitation in local media.
- Vet subcontractors' pre-qualifications.
- Verify subcontractor and vendor W9 status.
- Verify subcontractor insurance coverage limits.
- Assist with scheduling of pre-construction meetings.
- Assist PE with development of Project Implementation Plan.
- Assist PE with development of Stakeholder Engagement Plan.
- Assist PE with development of Quality Assurance/Quality Control plan.
- Assist PE with development of Procurement Plan.
- Assist PE with development of Change Management Plan.
- Document and distribute meeting minutes.
Project Execution:
- Accurately file all project documentation.
- Collaborate with PM regarding all contract document modifications.
- Compile and issue subcontracts and change orders.
- File and maintain fully executed contract documents.
- Ensure project Team has up-to-date subcontract documents.
- Commit approved pay applications to ViewPoint.
- Maintain a sense of urgency and time management.
Project Closeout:
- Assist the project team with closeout of the project.
- Assure all committed costs have been zeroed out.
- Develop training schedule.
- Develop commissioning schedule.
- Assure all rental equipment has been returned.
- Create and distribute O&M manuals.
- Ensure contract completion criteria have been met.
- Assure as-built drawings are complete.
- Obtain stakeholder approval for final deliverables.
- Assist with owner training.
- Develop final project report.
- Deliver final project documentation.
- Develop project punch list.
- Provide stop notice to all insurance and bonds.
- Assure all power and utility has been turned over to owner.
- Archive project documents.
- Enhance group and organization reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
