Your Passion
As our sales and project management teams operate at the regional and local levels, you will be responsible for executing consistent project management processes that are utilized across the organization. Your mission is to help the project meet quality standards and deliver on time and within budget. This role is highly collaborative and will work closely with QC Supply's internal teams as well as external owners, integrators, subcontractors and suppliers. The (Construction) Project Administrator will report to the Director of General Services and assist the (Construction) Project Managers with the administrative duties and processes on projects. Communication with the project team will be key.
Role and Responsibilities
Create and maintain all portions for projects related to Jobs Manager including but not limited to:
- Creating a job with proper customer information and job descriptions.
- Entering data (budget information) from salespeople, estimators, vendors and subcontractors.
- Turning projects from quote status to order.
- Issue and maintain purchase orders for vendors and subcontractors.
- Maintain proper inventory paperwork for material movement to and from projects.
- Creating pick tickets for material from QC inventory.
- Posting inventory from warehouse/project team and pick tickets.
- Posting any returns back into inventory.
- Prepare, organize and distribute all necessary project materials.
- Invoice customer according to draw schedule.
- Create and invoice any change orders to project.
- Submitting final project paperwork to finance so project taxes can be processed and the project closed out.
Be well-informed of project progress, track expenses, and work on budget and revenue forecasts.
Provide internal reporting and projections to help forecast revenues, expenses, and cash flow.
Forecast and material requirements to facilitate timely and accurate purchasing.
Provide feedback as needed to project team on adjustments and accuracy of specifications and requirements.
Work with project team to continuously identify opportunities to improve processes.
Qualifications and Education Requirements
- Experience within project (agriculture/construction) management or in a similar position a plus.
- Computer Skills: Proficient with Microsoft Office: Will need to be proficient in Jobs Manager with training provided.
- Excellent understanding of project management concepts and proven skills in the effective use of project management tools.
- Ability to manage multiple projects, meet deadlines, interface with different company business units and work in a fast-paced environment.
- Ability to critically evaluate information from multiple sources, reconcile conflicts, decompose high level information into details and abstract low-level information to a more general understanding.
- Excellent knowledge of continuous improvement and quality management.
- Highly effective decision-making and judgment with a sense of urgency and a proactive approach.
- Excellent business and financial acumen with effective conceptual and strategic planning skills.
- Ability to work as a team player with team, stakeholders, and peers to establish goals, objectives, and action plans.
- Able to build solid relationships with team members, vendors and customers.
- The ability to lead change and achieve goals through collaboration, influence, and partnership.
