Responsibilities
- Act as the primary liaison with staffing agencies and suppliers to coordinate contract personnel onboarding.
- Provide mentorship and training for new hires, ensuring smooth integration into project workflows.
- Coordinate and escort non-company personnel on-site.
- Schedule and manage site-specific orientations for new personnel.
- Provide site and IT support, including submitting ServiceNow requests for laptops, software, and other technical needs.
- Assist with badging, security clearances, and compliance documentation.
- Develop, maintain, and update the project organizational chart and project directory.
- Reserve workspaces, seats, and desks for new team members.
- Take and distribute meeting minutes, ensuring accurate documentation of key decisions.
- Schedule and coordinate meetings, conferences, and conference room reservations.
- Arrange travel logistics and process expense reports for project personnel.
- Order office supplies and coordinate catering for meetings and events.
- Strong leadership, mentorship, and training skills, with experience guiding new team members.
- Excellent organizational and multitasking abilities, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills with the ability to interact with all levels of stakeholders.
- Attention to detail and ability to maintain confidentiality in a highly regulated environment.
- Ability to work independently and within a team while taking initiative to improve processes.
- Familiarity with construction project workflows, terminology, and administrative processes is preferred.
- Experience supporting large-scale capital projects in a regulated industry (pharmaceutical, biotech, engineering, or construction) is a plus.
