Job Summary:

From initial inquiry to the after event follow up, the event coordinator manages and executes the successful operation of sporting clay and corporate events while providing exceptional customer service and an experience only found at Quail Creek Sporting Ranch.

Responsibilities & Duties:

  • Host initial contact meetings with potential event clients and tour the facilities with them.
  • Review the appropriate contract with the event client and ensure they understand the contents within.
  • Discuss our expectations, procedures, and policies with the event client to ensure a smooth event for both client and company.
  • Coordinate all event planning meeting and tours with necessary departments and team leads.
  • Identify the event client’s requirements and discuss the options they have to meet their desired result.
  • Anticipate the event clients’ needs and offer assistance and solutions to common scenarios and what-ifs.
  • Approve the event clients completed contract and collect their deposit.
  • Create a detailed and precise itinerary of the event and relay all applicable information to the Quail Creek Sporting Ranch Team through the teams’ outlook calendar.
  • Oversee the scheduling of contract labor so that all departments have appropriate coverage where needed.
  • Confirm all details one month, one week, and one day before the event to ensure both the team and the event client are in alignment.
  • Oversee all event set-up is completed in a timely manner.
  • Conduct final inspections on the day of the event to ensure everything adheres to the event client’s standards.
  • Ensure tear down is complete and operations are functional for the next business day.
  • Assess the events success through a follow up survey and discuss feedback with the team to ensure improvement and consistency.
  • Compile all applicable billing items for the event and relay the information to the accounts receivable department.
  • Ensure that payment is received in a timely manner.
  • Follow up with the event client once payment is received to discuss dates to hold their event at Quail Creek Sporting Ranch the following year.

Qualifications & Skills:

  • At least 3 years’ relevant and applied experience as an event coordinator.
  • A degree in hospitality management or public relations is preferred but is not required.
  • Most events are held on Saturday or Sunday, so weekends are required.
  • Comfortable working long hours on occasion
  • Well organized with excellent multi-tasking abilities
  • Customer service focused
  • Works well with a large team & across multiple departments
  • Keeps communication a top priority
  • Able to produce quality work without being closely supervised
  • Thrives in a fast-paced environment
  • Adapts well to new or unforeseen circumstances

Job Type: Full-time

Pay: From $13.00 per hour

  • Event Coordinating: 3 years (Preferred)
  • Customer service: 3 years (Preferred)
