Description
We are seeking an enthusiastic, detail-oriented Administrative Assistant with a heavy focus in Accounting. This role is perfect for someone who enjoys staying organized, multitasking, and is good with numbers.
- This is a Full-Time hourly position
- Work Schedule: Monday - Friday (40-45 hours/week)
- Compensation: $26.50-$28.00/hr
Essential Duties and Responsibilities:
- Acts as the point person for the coordination of employee gatherings for monthly luncheons.
- Monitors and maintains office supplies, uniform inventory, for Golf Course Maintenance, PAS and HOA.
- Posts invoices accurately to the general ledger system ensuring invoices are properly coded, approved and recognized in the proper accounting period.
- Resolves any billing discrepancies discovered with vendors.
- Submits all posted and approved invoices to the accounting department for payment.
- Prepares monthly variance reports for golf course maintenance based on feedback from management and submits to the accounting department in a timely manner.
- Assists with the development of the annual budgets for golf course maintenance, PAS, and HOA departments including data entry, review and analysis of variances.
- Maintain vendors file W9 and COI, add new vendors to system.
- Prepares various accounting reports as directed by management.
- This position will serve as introduction into accounting and will have an accounting workload.
Requirements
Knowledge, Skills, and Abilities:
Computer: Ability to proficiently use Microsoft office, (Word, Excel, and Outlook).
Language: Ability to read, write and comprehend correspondence, memos, and effectively present information in one-on-one and small group situations to employees.
Mathematics: Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentages.
Reasoning: Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form.

- Must posses interest or experience in the accounting field.
- Maintain flexible availability, will work weekends, and holidays. May be required to return to job site at odd hours under emergency situations.

- Serve as a role model and set a positive example for the entire staff in all aspects of business and personnel management.

Qualifications
- Minimum of a high school diploma and two years’ experience in accounting/bookkeeping or equivalent combination of education and experience.
- Minimum of two years’ experience as an administrative assistant in an operation comparable in scope and size preferred.
- Bi-lingual (Spanish) is a plus.
