Job Title: Attendance Secretary

Reports To: Building Principal at Strayer Middle School

Level: QESPA Union, Category A

Status: Hourly, 190 Days (180 Student Days, 5 days before and after the school year)

Hours: 8 hours per day

Salary: $14.65 per hour

Effective Date: Beginning January 6, 2025

SUMMARY:
A school attendance secretary plays a critical role in ensuring the smooth operation of the school by managing and monitoring student attendance. Their primary responsibilities include Tracking Attendance, Communication, Compliance and Reporting, Support for Students and Families, and Administrative Duties.
By fulfilling these duties, the attendance secretary ensures accurate attendance data, supports academic accountability, and fosters communication between the school, students, and families.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

  • Recording and maintaining accurate records of student attendance daily, including tardies, absences, and early dismissals.
  • Schedules SAIP as needed.
  • Contacting parents or guardians to verify reasons for student absences.
  • Informing teachers and administrators about attendance patterns or issues.
  • Sending out notifications about unexcused absences or excessive tardiness.
  • Ensuring the school complies with district, state, and federal attendance regulations.
  • Preparing attendance reports for school administrators, the school district, or state education departments.
  • Assisting families with processes like excusing absences or obtaining documentation for prolonged absences.
  • Providing information about attendance policies and resources for families facing challenges (e.g., illness, transportation issues).
  • Maintaining accurate records in attendance management software.
  • Collaborating with school counselors or truancy officers to address chronic absenteeism.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND EXPERIENCE:

High school diploma or general education degree (GED) and one year previous office experience

CERTIFICATES, LICENSES, REGISTRATIONS:

None

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, staff and students.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and ABILITIES:

Ability to pass a typing test at 55 words per minute. Demonstrated ability to operate a personal and mainframe computer and related software. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
