Job Summary:
The Lead Front Office Receptionist will coordinate the day-to-day activities and management of patient access services, such as registration, payment collections and other patient access functions. Ensures maintenance and improvement of processes, communication of needs to appropriate parties, and confirmation of resolution of issues. Provides guidance to staff within the guidance of the Practice Manager regarding all Front Desk work areas and policies.
Essential Duties and Responsibilities:
- Ensures all daily activities of the registration area to insure department standards are met.
- Maintains effectiveness of patient flow.
- Provides guidance to staff members by providing training, advice and feedback to assist/support staff members in achieving established performance standards.
- Provides recommendations that will improve patient access process.
- Assists the Practice Manager with providing input into employee's annual performance evaluations.
- Maintain inventory control of paper/forms/supplies at front desk area.
- Individuals may be assigned other duties which may be outside of their day-to-day activities, which supports the overall success of QualDerm Partners.
- Coordinate staff to ensure adequate coverage, including: phones, check in and check functions and modify lunch schedules as needed.
- Works with sensitive and confidential information, often involving the interpretation of policies and procedures as guides
- Perform registration and basic insurance verification, ensuring collection of critical data elements necessary for proper patient identification and billing.
- Identify and update patient demographic information as defined by departmental policy and procedures.
- Coordinate patient admission needs for timely patient placement.
- Identify non-participating insurance plans or out-of-network plans and inform patients and physicians regarding options, including but not limited to cancelling appointment.
- Work with HMO patients on obtaining referral information.
- Ensure patients lab matches their insurance plan.
- Obtain copies of insurance card and confirm insurance through online verification tools or other methods.
- Collect appropriate co-pays, co-insurance or deductibles at the time of service.
- Prepare documents for optical imaging/scanning into electronic medical record.
- Obtain patient signatures for consent to treat.
- Assist with resolutions pertaining to patient account balances.
- Assists in gaining resolutions for patient complaints/issues.
- Copying or faxing of documents to additional office locations.
- Provide courteous and accurate information about the practice and instructions to patients and visitors.
- Oversee scheduling and approving payroll in partnership with Practice Manager (where applicable)
- Interview and hire staff as needed
- Any other duties as required to ensure operations are successful.

Education and/or Experience:
- High School Diploma or Equivalent
- Prior experience in a healthcare office preferred, and customer service required.
