Our first point of contact for visitors and clients. Manages front desk activities; answering phone calls, and ensuring the smooth operation of office functions. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to handle multiple tasks efficiently.
Responsibilities
· Greet and welcome visitors in a professional, friendly manner
· Answer, screen and forward phone calls professionally
· Receive and sort daily mail
· Proficiency in Microsoft Office Suite (Word, Outlook and Excel)
· Experience with office equipment, including fax machines, postage machine, printers
· Ensure reception area is organized and presentable at all times
· Perform clerical duties, filing, data entry, document management, proofing of work processes to ensure accuracy
· Learn roles and duties for coverage within department
· Assist with administrative tasks as needed by departments
· Coordinate office supplies and maintain inventory
· Assist with customer service inquiries and provide support as required
· Ability to prioritize tasks, multitask, and be resourceful when issues arise
· Professional demeanor, appearance, and customer service attitude
· Strong Written and Verbal communication skills
· Data Entry Experience
· Work with other departments: Collaborate with sales, customer service, and other teams
Qualifications
- Proven experience as a receptionist or administrative assistant is preferred.
- Strong clerical skills with attention to detail and accuracy in all tasks.
- Proficiency with Microsoft programs; specifically, Outlook and Excel.
- Excellent phone etiquette and interpersonal skills to interact effectively with clients and colleagues.
- Ability to type efficiently with a focus on accuracy.
- Experience in customer support roles is advantageous.
- Solid analytical and problem-solving abilities.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to maintain confidentiality.
