Job Description
The Office Manager Assistant shall be responsible to communicate and interface with the Client as appropriate to assure customer satisfaction and positive outcome to any negative or adverse field condition which may arise.
The Office ManagerAssistant must also perform translation (hispanic) duties with some technical staff.
Work also includes answering incoming calls and performing reception responsibilities, reviewing and directing emails for response. Performing follow ups as may be required to assure a professional and timely response to all queries.
Utilize existing permit log to maintain an updated permit status.
Makes appointments for Sales calls.
Maintains office operations utilizing existing organization/formats and following procedures; preparing payroll; controlling correspondence; designing (when or where required) and maintaining hard copy and electronic filing systems; performing clerical functions, scheduling/coordinating outside vendors performing services for Quality One Pool Management. Proficient in the use of Microsoft software, particularly Excel and Access. Skills in Microsoft Office 365 a must. Must be prepared to learn new software as it may arise.
Maintains office efficiency by implementing office systems.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
The Office Manager is responsible to assist in generating accurate and substantially detailed estimates for future work. The Office Manager Assistant shall support this effort as may be required.
