Salary Range: $24.00/hour- $28.00/hour
Summary of Position: We are looking for a highly motivated, organized self-starter to provide high-level administrative and logistical support to executives, managing schedules, communications, travel, and projects, ensuring smooth operations and efficient workflows.
*This position is in-person.
You will be responsible for the following:
Accounting- expense tracking, billing/invoicing through QuickBooks, tracking requisitions, purchase orders, assist with billing for projects including sub-consultant invoices and supporting documents.
- Maintain accurate documentation for billing customers and audits.
- Assist in daily, monthly, and annual activities, including generating financial reports, developing budgets, preparing taxes and assisting with audits and resolving discrepancies.
- Speaking with vendors and suppliers to ensure changes are accurate and payments are received in a timely manner.
- Communicating with clients to discuss account statuses, changes or discrepancies.
- Handle general ledger bookkeeping where necessary.
- Responsible for working/editing daily download of assigned Governmental Program claims while adhering to all regulatory, contractual, compliance, and mandates/guidelines.
- Optimizes timely transmittal of accurate and clean claims to achieve timely payment.
- Protects payer filing deadlines by utilizing all available resources to resolve held claims.
- Reviews biweekly reports that include employees’ hours and charges to appropriate tasks to ensure correct monthly billing.
Technical skills - knowledge of technology/office equipment and willingness to learn new information systems and software; proficiency in the use of QuickBooks, computer applications and MS Office Suite (e.g., Excel, PowerPoint, Word).
- Assist with entry and maintenance of data into Excel-based business and financial reports.
- - directly support senior leadership and other assigned management positions, including calendar management/scheduling of appointments, entering payables, researching accounts receivable, filing, answering phones and back up other departments as needed.
- In the absence of Human Resource personnel, prepare and submit biweekly payroll.
Business skills - display a working knowledge of office practices and procedures.
- - gather and analyze information to identify and resolve problems in a timely manner.
Customer service - satisfy customer needs by providing and delivering professional, helpful high-quality service and assistance.
Planning/Organizing - prioritize and plan work activities using realistic action plans.
Verbal/written communication skills - proofread/review correspondence for accuracy and completeness.
- Establish a work environment that creates positive communication between supervisors and employees and assimilates new employees to the company’s culture, values and mission.
- Ensure compliance with all pertinent regulations and operating standards.
- Additional duties as assigned.
Qualifications:
- Associate’s degree in accounting, finance or related field.
- 2-3 years’ experience in accounts payable, receivable or related fields.
- Demonstrated experience in an administrative role reporting directly to upper management preferred.
- Demonstrated, advanced computer skills with experience in Microsoft Suite and QuickBooks.
- Experience with government contracts is preferred.
- Security Requirement: This position requires the ability to gain and maintain a Secret security clearance and must be willing and meet the eligibility requirements to upgrade to a Top-Secret clearance if the position requires it. US Citizenship required.
