What are the responsibilities and job description for the Front Desk Attendant position at Quantum Real Estate Mgmt LLC?
General Responsibilities:
Work with residents and their guests in a professional manner to ensure the safety and security of the premises. Perform building inspections to limit safety hazards and to check that mechanical equipment is in proper working order. Respond to emergencies by following established procedures. Document important information in the Front Desk Log Book.
Essential Duties:
Customer Service
- Consistently maintains a professional, courteous attitude when dealing with residents, coworkers, and the general public at all times.
- Provides excellent customer service by assisting residents’ and guests with their concerns and works with them to find a resolution or refers them to the proper staff person that can assist them.
- Receives and records work orders and assists with maintenance concerns.
- Safeguards the privacy of resident and employee information, as set out by HIPPA and the Federal Privacy Act by appropriately limiting the disclosure of protected information.
- Receive and distribute resident packages from delivery services. Log all packages to ensure proper tracking while in possession of the management. Audit packages at the beginning and end of shift with the Front Desk Attendant to ensure all packages are accounted for.
- Ensure Front Desk and Lobbies are neat and organized daily. Straighten items, discard unnecessary items, or move items to proper place as needed.
Safety
- Actively promotes the safety and well-being of the residents by conducting regular building rounds to check for and eliminate safety hazards. This requires walking through the building and ascending and descending the fire exit stairs to monitor the facility periodically throughout the shift.
- Monitors CCTV, ECS, fire alarm and other related building mechanical systems and takes appropriate action as needed.
- Protects the safety of the residents and their belongings by following the Reasons for Apartment Entry by Property Staff Policy and Reasons Property Staff Will Not Enter a Unit Policy.
- Monitors the traffic of guests as they come and go from the building to ensure they are following proper use of the building entry system and are in compliance with guest policies.
Emergencies
- Understands and implements all emergency procedures in a timely manner to mitigate injury to persons and damage to the building or equipment.
- Performs necessary, basic building maintenance as outlined in the Emergency Maintenance Requests policy.
- Contacts appropriate additional staff or vendors in a timely manner when necessary to correct or prevent unsafe conditions, assist with emergencies or to notify staff of equipment not functioning properly.
- Ascends and descends the fire exit stairs during an emergency and to monitor the building in the event of a power outage, fire or other building emergency when the elevators should not be used.
- Oversees contractors making emergency repairs or when directed to by the management or maintenance staff.
Communication and Documentation
- Communicates important information to emergency personnel and/or other staff members verbally in person or by phone as needed.
- Records any emergencies, incidents, unusual conditions, resident issues, resident medical issues, potential lease violations and use of the master key to unlock apartment doors or need to enter an apartment in the Front Desk Log book.
- Prepares incident reports and work requests as needed.
Other
- Works closely with management and other staff members in developing and integral team that effectively represents quality, and professionalism.
- Attends and participates in training and staff meetings as requested.
- Performs other duties as assigned. All duties are to be performed in a safe manner.
- Work schedule is subject to change with short notice to cover emergencies, vacation, staff shortages and the needs of the management.
Salary range: $34k - $36k
