Under the direct supervision of the Administrator, this position provides general clerical support and performs receptionist and secretarial duties to the Quechan Housing Authority Administration office.
1. Achieve the goals and mission of the Quechan Housing Authority.
2. Must be responsible, dependable, and professional.
3. Follow verbal and written instructions.
4. Answers and routes calls on multi-line phone, takes phone messages, maintains a daily visitors and phone log, directs clients to proper departments.
5. Responsible for receiving cash, performing daily cash register closing process and reporting to Director of Finance or designated Supervisor when the cash register has reached the daily maximum amount allowed.
6. Responsible for entering rent payment in the HDS program and provide tenants with receipts.
7. Responsible for entering all payroll deduction checks on the Housing Data System (HDS) and mailing out any subsequent HDS receipts from payroll deductions.
8. Responsible for recording the Board of Commissioners Regular and Special Meetings and completion of minutes, in a timely manner when needed.
9. Responsible for preparing Board of Commissioner packets.
10. Type’s correspondence, letters, notices, reports, schedules all appointments and maintains required records and reports.
11. Responsible for maintaining an accurate record of mail boxes of all tenants.
12. Must maintain files and retrieves program vendor information for various departments.
13. Assist management and staff in completing and submitting required information.
14. Receive and document Rental work-orders in the Housing Data System (HDS).
15. Responsible for date stamping and keeping a written log of all incoming mail and checks.
16. Responsible for the delivery of all outgoing mail to the local post office, in a timely manner when needed.
17. Is responsible for postal meter and maintenance of all office equipment.
18. Assists in the hiring process by scheduling interviews and preparing packets.
19. Responsible for ordering all supplies as needed for the automated equipment and ordering office supplies for staff from Property Supply Coordinator Supervisor.
20. Responsible for delivering all incoming documents and related information to the appropriate QHA staff members in a timely manner.
21. Responsible for the working area office equipment.
22. Safeguard the confidentiality of company records, documents, general information and maintain the highest level of confidentiality on all matters pertaining to QHA.
23. Work as a team and collaborate with Housing Departments as well as local, regional, and statewide organizations.
24. Able to deal courteously, effectively and efficiently with a variety of professional staff, maintain effective working relationship with people of varied socioeconomic, educational and cultural background and interact with general public.
25. Physical and emotional condition adequate to meet the demands of assigned duties.
26. Must be available in emergency situations.
27. Able to work after hours from time to time.
28. Performs any other duties as assigned by the Supervisor and/or Executive Director.
Education and Experience
1. High School diploma, GED, college preferred or two (2) years of work experience may be substituted for one (1) year of college level course work or three (3) years in administration, which provides the required knowledge, skills and abilities.
2. Knowledge and ability to operate office equipment, familiar with office computer software, office practice, and procedures.
3. Typing skills of at least 45 wpm.
4. Must have excellent mathematical skills and light bookkeeping skills.
5. Able to use a 10 key touch.
6. Must possess good organizational and communication skills.
Licenses
· Possession of a valid driver’s license and be insurable with Quechan Housing Authority insurance plan.
· Must pass a pre-employment alcohol/drug test and submit to a background investigation.
· Must not have any felony convictions (this will also include any misdemeanors related to drugs, alcohol, violent crime, and larceny or sex offenses) and have no pending court actions of any type against him/her.
