Job Summary: We are seeking a highly motivated and detail-oriented Executive Assistant to provide administrative support to our executive team. This position will be remote, and the ideal candidate will be skilled in managing multiple tasks, communicating effectively with internal and external stakeholders, and assisting in day-to-day operations to ensure smooth business processes.
Key Responsibilities:
- Executive Support:
- Manage and organize calendars, including scheduling meetings, appointments, and travel arrangements.
- Handle communication, including emails, phone calls, and other inquiries for the executive team.
- Prepare and coordinate documents, reports, presentations, and other materials for meetings.
- Assist with project management tasks and track progress on company initiatives.
- Act as a liaison between executives and various departments to ensure timely follow-up and information flow.
- Administrative Duties:
- Maintain accurate and up-to-date files, records, and documents related to company operations.
- Handle confidential information with discretion and professionalism.
- Assist in creating and maintaining internal processes, including improving workflows and identifying areas for efficiency.
- Strong organization skills as well as the ability to work in a fast-paced environment with a lot of moving parts and pieces.
- Prepare expense reports and manage executive-related budgets.
- Customer and Client Relations:
- Serve as a point of contact for key clients, ensuring a positive customer experience and addressing any inquiries or issues.
- Coordinate with the operations team to ensure client needs are being met and projects are completed on time.
- Office Management (Remote Focus):
- Manage remote office supplies and ensure all necessary equipment is available to the team.
- Coordinate virtual team meetings and company-wide communication, ensuring all employees stay connected and informed.
- Support to Sales and Marketing:
- Assist the sales and marketing team in preparing proposals, presentations, and outreach campaigns.
- Track and report on sales activities, ensuring alignment with company goals.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative support role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other remote communication tools (Zoom, Teams, etc.).
- Excellent communication skills (written and verbal), with the ability to interact effectively with executives, clients, and team members.
- Highly organized with the ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and problem-solving skills.
- Self-starter who thrives in a remote work environment and can work independently.
- Experience in the commercial cleaning industry is a plus but not required.
Preferred Skills:
- Knowledge of project management software (e.g., Smartsheet, Asana, Monday.com).
- Experience with customer relationship management (CRM) tools.
- Ability to work in a fast-paced environment and handle a variety of tasks simultaneously.
