Quick Servant Company Inc. is seeking a detail-oriented Parts Administrator to support the daily operations of our Parts Department. This role is essential in ensuring smooth inventory management, accurate order processing, and efficient communication between technicians, customers, and internal teams.
Key Responsibilities:
- Process and document incoming purchase orders accurately.
- Answer phones and assist technicians and customers with parts orders.
- Support the billing department with part-related inquiries and receipt documentation.
- Assist warehouse personnel with receiving and organizing incoming packages.
- Review inventory variance reports following physical counts.
- Monitor open purchase orders, transfers, credits, RMAs, and warranty activity reports.
- Ensure inventory accuracy and adherence to processes across departments.
- Audit part statuses and request dates to prevent potential delays.
- Assist in managing part number creation and resolving duplicate/incorrect entries.
- Maintain and update stock lists, minimum/maximum inventory levels, pricing, and vendor lists.
Required Skills & Qualifications:
- Strong data entry skills with high accuracy.
- Typing speed of 40 words per minute or more.
- Solid math skills for inventory and order processing.
- Proficiency in Microsoft Excel and other spreadsheet applications.
- Excellent verbal and written communication skills.
- Strong computer skills and the ability to quickly learn new systems.
