About the Role

 

As the Senior Global Travel and Expense Manager, you will play a pivotal role in managing all aspects of employee, contractor, and volunteer travel for Quint’s global events. Your focus will be on ensuring efficient, budget-conscious travel logistics, while maintaining an exceptional employee experience.

 

This role requires strategic oversight, strong financial management, and deep industry expertise, as you will be responsible for implementing processes, sourcing travel partners, and ensuring seamless travel experiences for event teams.

 

Key Responsibilities

 

Travel Planning & Coordination

 

  • Oversee and manage all aspect of event-related travel across 80 annual events including flights, accommodations, and ground transportation.
  • Source, negotiate, and manage vendor partnerships to optimize costs and benefits.
  • Ensure policy compliance, manage booking systems, and streamline processes for a seamless experience.
  • Handle last-minute travel changes, rebooking’s, and emergency travel disruptions, ensuring minimal impact on event operations.

 

Financial & Budget Management

 

·        Manage, track, and optimize a multi-million-dollar travel budget across all events.

·        Forecast future travel expenses based on historical data, market trends, and projected travel requirements.

·        Identify cost-saving opportunities and efficiency improvements without compromising traveler experience.

·        Provide detailed reporting and financial analysis to senior leadership.

 

Compliance & Risk Management

 

·        Ensure full compliance with corporate travel policies, industry regulations, and safety standards.

·        Develop risk management protocols to address potential travel disruptions, security risks, and emergency scenarios.

·        Continuously update and refine travel policies and procedures to align with business needs and global best practices.

 

Collaboration & Stakeholder Engagement

 

·        Act as a trusted travel advisor to executives, employees, and contractors, ensuring seamless coordination of all travel arrangements.

·        Partner with event operations, finance, and HR teams to align travel logistics with business objectives.

·        Provide clear and proactive communication on travel policies, booking updates, and contingency plans.

 

Process Improvement & Technology Integration

 

·        Implement best-in-class travel management technology to streamline booking, tracking, and reporting.

·        Identify opportunities for process improvements to enhance efficiency and accuracy.

·        Stay informed on emerging travel trends, automation tools, and industry innovations to optimize operations.

·       Accuracy and timeliness of work completion.

·       Consistency in collaborating and supporting the global team.

 

Who You Are

Experience & Qualifications

 

  • 8 years of experience in corporate travel management.
  • Experience in large-scale international travel coordination for corporate teams, entertainment industries, or events is strongly preferred.
  • Proven ability to manage multi-million-dollar travel budgets with cost optimization strategies.
  • Certification in Travel Management (e.g., Certified Travel Associate, Global Travel Professional) preferred.
  • Bachelor's degree in Business, Hospitality, or a related field preferred.
  • Proficient computer skills including but not limited to Excel, CRM software, and project management tools.

  • Ability to manage multiple travel requests in a fast-paced environment.
  • Detail oriented and results driven.
  • Deep understanding of international travel logistics and regulations.
  • Excellent communication and relationship-building skills.
  • Comfortable enforcing company policies while maintaining employee satisfaction.

 

Location & Work Requirements

 

  • Full-time, in-person role based in Charlotte, NC, or London, UK.
  • Flexibility to work long hours, including weekends, as needed.
  • Ability to travel up to 20% of the time, with a focus on approximately 10%.
  • Must be eligible to work in the United States or United Kingdom.
