Administrative Specialist

We are looking to add a new team member to our locally-owned small business in mid-Michigan! The Idea People have been providing specialty advertising and promotional products to customers across the state for over 30 years. We’d love to have you join our team and see where the possibilities take you.

The right candidate can multi-task, is organized and pays attention to detail. They must be eager and ready to dive into all support functions including clerical office work, customer service and supplier management. As a small business, we all wear many hats but that’s what keeps things interesting!

Responsibilities:

  • Greet clients and answer phone calls, take messages and respond to general inquiries
  • Use robust software to manage orders from booking through product delivery
  • Communicate with suppliers regarding inventory availability, order status, and shipment tracking
  • Support sales team with order accuracy to ensure customer satisfaction
  • Assist with special projects such as order fulfillment, generating special reports, etc

Requirements:

  • Minimum 2 years of experience in a similar role is preferred
  • High School graduate or equivalent
  • Proficient with using computers and common office software including Microsoft Office Suite
  • Strong organizational skills to manage multiple tasks and maintain accurate records
  • Must have a positive attitude to build relationships with clients, vendors and colleagues
  • Strong attention to detail to ensure tasks are completed accurately and efficiently

Due to the nature of the business, we will provide training in multiple job functions and processes during your onboarding period. This helps establish a holistic understanding of the business and enables more efficient and effective teamwork long term. We want to be sure there is a firm understanding of the products, workflow, and the software used before settling into the intended role.

Full time (on-site only): Monday-Friday 8am-5pm
