Job Description:
We are seeking a highly organized and meticulous Executive Assistant to provide administrative support to a busy executive at a growing accounting firm. This role involves managing emails, phone calls, data entry (including bookkeeping for the executive's clients), and other administrative tasks. As the company expands, this role offers opportunities for growth and advancement within the firm.
This is a part-time position with a maximum of 20 hours per week, and after 2-3 months of in-person training, the position can transition to 100% remote work.
Key Responsibilities:
- Email Management:
- Organize and manage incoming emails, prioritizing urgent messages and drafting responses on behalf of the executive.
- Ensure timely follow-up and proper categorization of emails for easy retrieval.
- Phone Management:
- Screen and answer phone calls, providing general information or directing calls, as necessary.
- Schedule and confirm phone appointments or meetings.
- Data Entry & Bookkeeping:
- Assist in entering and updating data into spreadsheets, CRM systems, and databases.
- Organize and maintain files, both digital and physical, ensuring accuracy and completeness.
- Prepare reports and basic presentations based on the entered data.
- Assist with data entry, including bookkeeping tasks for the executive’s clients.
- Organize financial records, invoices, and client data, ensuring accuracy and timely updates.
- Scheduling & Calendar Management:
- Schedule meetings, appointments, and coordinate travel arrangements as needed.
- Keep the executive's calendar up-to-date, avoiding conflicts.
- General Administrative Support:
- Assist with organizing and maintaining both digital and physical documents.
- Perform additional administrative tasks as needed to support the executive's personal and business needs.
Qualifications:
- Previous experience as an executive assistant or in a similar administrative role. (Preferred)
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with the ability to adapt to new software tools.
- Experience with QuickBooks Online (QBO) or basic knowledge of accounting/bookkeeping. (Preferred)
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple tasks efficiently.
- High attention to detail and organizational skills.
- Ability to maintain confidentiality and manage sensitive information.
