What are the responsibilities and job description for the Administrative Assistant position at R & J Capital?
Get a firsthand view of behind the scenes of a growing mortgage brokerage. You will be supporting the
CEO, along with other staff on day-to-day activities as well as special projects that may come along.
Responsibilities
Act as a point of contact between the CEO and other internal and external clients
Answering calls to include taking messages, documenting and routing to appropriate parties
Handle written, verbal and phone requests and inquires appropriately
Arrange meetings, appointments and travel as necessary as well as provide reminders
Ensure office is fully stocked with equipment necessary for business as well as kitchen for office
use; this could include supplier negotiation for discounts and deals
Produce reports, presentations and briefs
Create and manage an efficient filing system
Handle all incoming bills to ensure they are paid timely
Work with IT to set up new computers
Personal assistance to CEO on an ad hoc basis which includes calendar management and email
inquiries
Other duties assigned
Required Skills
3 years of experience as an Executive Assistant or a Sr Administrative assistant; experience in
a Real Estate firm is a plus
Problem solver
Proficient in MS Word, Excel, and Outlook
Strong team member
Seeker of excellence in quality of work
Highly organized
Proficiency in English; Russian speaking is a plus
Time management skills
Ability to multitask and juggle multiple priorities
