Job Summary
We are seeking a dedicated and organized Office Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and managing various clerical tasks. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Perform clerical duties including filing, data entry, and maintaining office records
- Manage calendars, schedule appointments, and coordinate meetings for staff
- Provide exceptional customer service by answering phone calls and responding to inquiries with professionalism
- Assist in scheduling deliveries and making up customer delivery tickets
- Maintain an organized filing system for easy retrieval of documents
- Support administrative tasks such as ordering supplies and managing office equipment
- Filing company sales tax
- Processing LIHEAP customer invoices for customers who get heating assistance
- Utilize computer software for various administrative functions, ensuring accuracy in all tasks
- Processing payments for customers
- Create bills for overdue invoices and sending them out
- Create a new timesheet for employees after every 2 weeks
- Uphold phone etiquette standards while communicating with clients and colleagues
- Handling a multi-line phone system
Qualifications
- High school or GED required
- Fluent in English
- 2 years of experience as an office secretary or in a similar administrative role is preferred
- Strong clerical skills with proficiency in office management systems and procedures
- Excellent computer literacy, including familiarity with Quickbooks, Microsoft word, or similar applications
- Ability to manage calendars effectively and prioritize tasks efficiently
- Exceptional customer service skills with a friendly demeanor
- Strong attention to detail and organizational abilities
- Effective communication skills, both verbal and written
- Previous experience in customer service
