GENERAL JOB DESCRIPTION FOR DOCUMENT CONTROL SPECIALIST
The Document Control Specialist-(DCS) is responsible for maintenance of project documentation lists and quality program documentation, transmittals of external documents for customer reviews, approval, or request for information. The DCS is also the owner of the Quality Assurance Record Maintenance Process. This position will act as a liaison for the Quality Manager, QE, QC, NDT Outside Service’s, Design Engineers, Weld Engineers, Manufacturing Engineers, and Project Management.
DUTIES/RESPONSIBILITES FOR DOCUMENT CONTROL SPECIALIST
Document Control Activities
- Establish an understanding of the final data package requirements during the quality planning stage.
- Manage the FDP Matrix as provided by Engineering & Sales and as necessary create the Matrix.
- Establish Quality work order file format to streamline the record collection process while striving to eliminate waste.
- Coordinate with QC to support daily in-process record authentication and placement in specific FDP folder.
- Compile, Review, Paginate, Coordinate, and Issue the FDP.
- Manage the external transmittal system.
- Oversee Program Documentation Training and Records process.
- Update and Internally Transmit revisions and initiate training requirements by department.
- Auditing the Program Documentation System.
Quality Activities
- Oversee the receiving records process by a secondary review and/or authenticating material certifications, certificate of conformances and other special technical records invoked in the purchase order.
- Save records into the proper work order folders.
- Save receiving tickets and certificates of conformance into the proper folders.
- Initiate non-conformance reports on material that does not meet purchase order or material specification requirements.
- Interact with Purchasing and other Quality personnel to resolve documentation and supplier material issues
- Expedite the non-conformance apparent cause and disposition process with the Responsible Manager to meet management expectation of 24 hours or less.
- Work with QE/QC to verify all acceptance criteria has been met and confirm closure.
- Issue Aging NCR Report on a weekly basis to all responsible managers, and Cc the QA Mgr. and Executive Management Team.
SKILLS/QUALIFICATIONS FOR DOCUMENT CONTROL SPECIALIST
- Proficiency with Microsoft Office applications
- Organizational skills for file management, and attention to detail.
- Strong communication skills and a willingness to work with a wide variety of associates
- Understand Quality Operation Systems, specific project documents relating to design, manufacturing, and quality.
- A desire to constantly be learning about Quality Assurance/Control processes, and technology to support those activities.
