Job Description

The parts specialist is to provide solutions to customers and vendors regarding parts, service, and technical support. The specialist is the first point of contact for all incoming inquiries for customer parts orders and service inquiries. The new sales generation will also be targeted through conversations with existing customers to determine additional avenues for RWM support. The parts specialist will exhibit strict adherence to the company’s core values in all interactions and completion of work.

• Provide detailed, accurate quotations for all parts requests, focused on providing resolution and solutions for customer needs with a sense of urgency.
• Formulate and prepare proposals for bid requests for parts.
• Communicate all information and the customer will need to complete their repair or project.
• Ensure customer is informed during the open order period to keep the customer updated on the order status including the projected shipping date from the supplier.
• Monitor and manage back orders regularly with vendors to insure timely delivery.
• Notify the customer the day the order has shipped with tracking information and follow up suggestions to additional parts, available service, or support.
• Assist the Parts Manager as needed managing physical inventory, pricing and part information in accounting software and warehouse.
• Determine shipping needs for parts and for large items, arrange truck shipments and provide bills of lading to accompany shipments.

The parts specialists has no supervisory responsibilities.

Work environment

This position primarily is completed in an office environment with some exposure to industrial environments. The use of PPE is required when working / visiting industrial environments.

May be required to sit for extended periods of time while demonstrating manual dexterity to accurately work on the telephone, computer keyboard, and other equipment. Must be able to lift and carry 50 pounds in the form of boxes of supplies or product components.

Travel required

Must be able and willing to travel away from home overnight when necessary.

Attend trade conventions, business meetings, conferences as well as social functions as a parts team representative.

Must possess a valid motor vehicle operator’s license and maintain to the Company’s sole satisfaction an insurable motor vehicle operating status.

Required education and experience

Requires knowledge ordinarily acquired from a high school diploma plus several years of work experience OR an equivalent combination of education and work experience.
