What are the responsibilities and job description for the Railey Vacations Guest Services Coordinator position at Railey Vacations?
Essential Responsibilities:
- Conduct arrival and departure with guests; explaining all necessary information to the guest and how to contact us with emergency situations or when they have a need. Complete necessary reporting relative to these tasks.
- Offer personal recommendations on area information such as activities, state parks, movies, grocery stores, shopping, etc. Complete Concierge tasks as they occur.
- Make payments and adjust reservation due amounts when balances are present or when adding an extra to the reservation. Maintain confidentiality with guest personal information.
- Ensure guest service standards are met during arrival, departure, and during any other contact with guest.
- Professionally address guests, including guest experience issues, in a timely manner and according to the guidelines. Complete necessary reporting relative to these tasks.
- Complete Guest Experience preparation for Guest Arrivals.
- Navigating and managing Guest Experience issues during stay
- Reporting issues accurately and following process for finalizing issues for Guest Experience
- Preparation for an attendance of the weekly Guest Experience Recap meetings
- Processing Refunds
- Communication with guests when damages occur and collecting amounts for damages.
- Report any Housekeeping/Maintenance/Upkeep issues to the appropriate department for follow up.
- Deliver brochures and other marketing materials throughout the Deep Creek Lake area to local businesses and restaurants.
- Clean, maintain, and organize front lobby and all areas associated with guest services.
- Any other tasks reasonably assigned by your supervisor or manager.
Minimum Required Skills & Competencies:
- Excellent written & verbal communication skills
- Must have strong organizational skills and be detail-oriented
- Go-getter/problem solver attitude.
- Previous hospitality experience is a plus.
- Knowledge of Microsoft Office software.
- Must have excellent phone and email etiquette.
- You must have a vehicle. (We reimburse mileage)
- Must have an outgoing personality and passion for the hospitality industry.
- Our office is open 365 days of the year. A flexible schedule to include weekends, evenings, and holidays is a must.
- High School Diploma or Equivalent.
Physically you can anticipate to:
- Express or exchange ideas by means of the spoken word via email and verbally
- Exert up to 50 pounds of force occasionally, use your arms and legs, and sit most of the time
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation
