Manage, coordinate, and update the operational schedule in coordination with the sales and operations staff.
Overview
We are seeking a highly organized and detail-oriented Scheduler / Office Admin, you will be responsible for overseeing the scheduling and some office administrative functions within RailPod. You will manage and coordinate project schedules, maintain training records, and handle work orders, ensuring alignment with client expectations and company goals. This role requires strong organizational skills, attention to detail, and effective communication with both internal teams and external clients. In the simplest of terms you will be responsible for determining when and where RailPod assets are going to be deployed throughout North America.
- Continuously evaluate and improve scheduling processes, including optimizing asset routing, automating routine tasks, and proactively engaging with clients to enhance RailPod asset utilization.
- Communicate with clients to ensure project direction and deliverables meet their expectations.
- Work towards creating more efficient schedules by optimizing regional planning.
- Maintain accurate and up-to-date training records for operational staff, ensuring compliance with industry standards and client-specific requirements.
- Collaborate with clients to identify training needs for operational staff, ensuring all requirements are met before onsite inspections occur.
- Work with the Director of Operations to implement new training programs as needed.
- Operate independently to gather and analyze data from clients, ensuring accurate and timely completion of work orders.
- Ensure the timely transmission of work order data to the relevant team members, facilitating smooth project execution
Experience
- Proficiency in office management practices and procedures is preferred.
- Previous experience in scheduling/logistics preferred.
- Strong computer skills, including experience with Google and Microsoft Office Suite and other relevant software applications.
- Previous experience in customer service or administrative roles is advantageous.
- Ability to type efficiently with attention to detail for data entry tasks backed by solid phone communications to elicit information from clients.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Willingness to learn railroad terminology and industry standards.
