What are the responsibilities and job description for the Executive Assistant position at Rain the Growth Agency?

This is a full-time, mid-level, flexible-first position on our Business Operations Team responsible for supporting C-suite executives by utilizing exceptional organizational skills within all administrative functions.
This position requires proactive problem-solving skills, strong documentation and presentation skills, an ability to gracefully interact with a variety of people and departments, and pivot priorities quickly. This role is a key member of the Administration Team and reports to the Associate Director, Building & Business Services in Portland, OR. The Executive Assistant position also includes supporting periodic after-hours events on or near campus.
What does an Executive Assistant do at Rain the Growth Agency?
Provide executive support for C-suite level executives, as well as other members of the executive and administration team when needed.
- Manage schedules, juggle meetings, book reservations
- Oversee and book business & personal travel as necessary
- Act as liaison to other senior executives and managers down chain of command
- Confidently communicate with agency’s Board of Directors and schedule board meetings
- Assist with preparing PPT decks, Excel spreadsheets, reports, and general written communication
- Help coordinate and work with IT and other internal teams to comfortably execute company-wide meetings virtually, and across the U.S.
- Ability to represent C-suite executives in written or verbal communication with vendors, local community leaders, and private relationships as needed
- Reconcile and manage expense reports
- Submit and manage PTO approvals for executive’s direct reports and accurately maintain time records
- Support oversight and assistance of time tracking for executive’s direct reports
- Project manage/follow-up with employees and vendors as needed to support executives
- Help plan and execute company events, lunches, client meetings, or provide support as needed
Administration Team Member and Mentor
- Participate in agency events as needed – either as an event lead or as a support member, helping to set up and take down events, including periodic after-hour needs
- Back-up team members when they are out on PTO
- Look for ways to improve processes and support the team
- Be a role model of professionalism, showing a sense of urgency and displaying grace under fire
- When in-office, contribute to the client/employee experience at all times by ensuring the building is clean, items are stocked as needed, rooms are meeting-ready, and any requests are routed to the appropriate person
What do we look for in an Executive Assistant at our agency?
- Bachelor’s degree in business administration or equivalent combination of education and experience
- 5-7 years of experience as an Executive Assistant
- Must have exceptional technical skills in all Microsoft Office programs (PowerPoint, Excel, Outlook, Word), Zoom, etc.
- Must hold information in the strictest of confidence, no exceptions
- Must be able to balance multiple and shifting priorities in a fast-paced environment.
- Understand travel and how to book it efficiently
- Availability 8:30am-5:30pm PST Monday-Friday, with some early mornings and/or later evenings, depending on Executive’s needs and events schedules
- Enthusiasm for working in-office regularly
- Minimal travel required
- Expert organizational skills and multi-tasking
- Impeccable judgement to effectively prioritize work
- Strong written and verbal skills

- Valid driver’s license or quick access to reliable transportation for running errands, transporting supplies, and getting to off-site locations
