This team is looking for an energetic Facilities and Administrative Manager to join and collaborate with our team at the San Francisco office. Compensation : $100,000 to $125,000 salary (negotiable)
Location : Financial District, San Francisco, CA. This positions is onsite 5 days a week with no opportunity for remote or hybrid work. Candidates must be willing to travel out of state to company headquarters once a month.
Position Summary
The Facilities Manager is responsible for overseeing facility operations and administrative functions across multiple office locations. Duties and responsibilities may be adjusted as needed based on business and operational priorities.
Primary Responsibilities
- Supervise facility team members at assigned locations, managing workflow, scheduling, and performance.
- Communicate effectively with staff to set clear expectations.
- Address internal inquiries and concerns promptly, escalating matters as necessary.
- Ensure team members conduct regular inspections to maintain clean and fully operational office spaces, providing coverage when needed.
- Track and manage facility-related issues, coordinating resolutions for maintenance, administrative tasks, and janitorial services.
- Stay informed on workplace procedures, policies, and operational guidelines for each office.
- Assist in managing front desk operations, budgeting, and event coordination.
- Act as a liaison between internal departments and property management or shared office providers.
- Work closely with relocation teams to coordinate :
- Logistics for office setup, moves, and workspace transitions.
- Internal office moves and employee relocations.
- Coordination with furniture vendors and subcontractors for project execution across multiple sites.
- Maintain and update operational dashboards for office locations.
- Travel as required to :
- Oversee office moves, new site setups, and provide on-call support.
- Conduct staff training and onboarding.
- Perform site visits as necessary.
- Manage financial aspects of facility projects and coordinate with relevant internal teams.
- Oversee third-party vendor service contracts, ensuring smooth contractor access and operations.
- Arrange and supervise after-hours contractor access, including weekend work when required.
- Provide 24 / 7 on-call support for facility-related inquiries.
- Perform additional duties as assigned.
