Job Overview:

The Scheduling and Dispatch Specialist plays a crucial role in ensuring seamless daily operations and efficient schedule management at Raleigh Cleaning Company. This position requires a highly organized, detail-oriented, and tech-savvy individual who can oversee the master schedule, coordinate daily routes(dispatching), monitor key performance indicators (KPIs), and drive continuous improvements.

The ideal candidate will be skilled at balancing scheduling demands with client satisfaction, supporting the company’s growth and operational efficiency. This role requires strong problem-solving skills , adaptability, and the ability to think quickly in a fast-paced environment.

Key Responsibilities:

  • Scheduling and Dispatching:
  • Manage the master schedule, ensuring all bookings are accurate, up-to-date, and aligned with company standards.
  • Oversee dispatching of teams and make real-time adjustments to ensure a smooth and efficient day.
  • Prepare end-of-day clearances and ensure all team members have completed their tasks or are reassigned as needed.
  • KPI Management & Continuous Improvement:
  • Monitor and report on KPIs monthly, presenting data-driven insights and continuous improvement recommendations to the CEO.
  • Conduct rate reviews and handle price adjustments as per company guidelines.
  • Invoicing & Accounts Receivable:
  • Ensure all invoices are accurate and sent in a timely manner, with aged accounts receivable maintained at less than one week.
  • Employee Scheduling Adjustments
  • Update the schedule to account for new trainees, employee time-offs, and other adjustments.
  • Review and approve time clock entries to maintain accurate payroll records.
  • Staff Forecasting and Attendance Management:
  • Conduct staff forecasting and manage attendance records, ensuring optimal team coverage for client demands.
  • Client Relations & Sales Support:
  • Manage scheduling, online booking requests, and client onboarding.
  • Handle quotes, estimates, and client inquiries, ensuring prompt and professional communication.
  • Provide backup for sales and oversee overtime sales efforts to maximize revenue.
  • Payroll Management:
  • Oversee payroll, including tracking and processing PTO (Paid Time Off).

Qualifications:

  • Experience: 2 years in scheduling, dispatching, or similar technical/administrative role; experience in the cleaning or service industry preferred.
  • Skills:
  • Strong organizational skills and attention to detail.
  • Proficiency in scheduling software and Microsoft Office Suite,Google Suite; experience with Maid Central Software is a plus.
  • Excellent communication and customer service skills.
  • Ability to manage time effectively and make quick adjustments to schedules and dispatch plans.
  • Financial acumen for invoicing, rate reviews, and payroll management.
  • Education: High school diploma or equivalent; additional certifications in administration, scheduling, or business management are beneficial.

Pay: $18.00 - $20.00 per hour
