Job Summary: We are seeking an organized and detail-oriented Vendor Maintenance Specialist to join our Supply Chain team. The Vendor Maintenance Specialist will be responsible for managing and maintaining vendor records in the company's financial systems. This role ensures the accuracy and completeness of vendor information, supports the procurement process, and collaborates with various departments to resolve vendor-related issues.
This is an hourly position located in the Elko, NV facility reporting directly to the Supply Chain Manager.

Key Responsibilities:
- Identify and select vendors that meet the company's requirements and manage the onboarding process to ensure they are set up correctly in the system.
- Build and maintain strong relationships with vendors to ensure effective communication and collaboration.
- Regularly assess vendor performance against agreed-upon standards and take corrective actions if necessary.
- Address and resolve any issues or disputes that arise with vendors in a timely manner.
- Ensure all vendor activities comply with company policies and regulatory requirements and maintain accurate records and documentation.
- Generate reports and analyze data related to vendor performance, costs, and other relevant metrics to inform decision-making.
- Complete credit applications for new vendors to establish credit terms and ensure smooth financial transactions.
- Track new vendors for each location to ensure they are properly integrated into the company's operations.
- Work with end users to set up new vendors in new areas, ensuring that all necessary information and requirements are met.
- Negotiate payment terms with vendors to ensure favorable conditions for the company.
- Conduct regular recertification audits to ensure vendors continue to meet the company's standards and compliance requirements.
- Evaluate and prequalify subcontractors to ensure they meet the company's standards and requirements before engagement.
- Cross-train with the buyer to ensure coverage and continuity in vendor management and procurement processes.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field preferred.
- 2 years of experience in vendor management, procurement, or a related role.
- Strong understanding of supply chain management principles.
- Proficiency in purchasing software, ERP systems, and Microsoft Office Suite.
- Excellent negotiation, communication, and interpersonal skills.
- Analytical mindset with strong problem-solving abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Knowledge of industry-specific regulations and best practices.
Preferred Qualifications:
- Certification in Procurement or Supply Chain (e.g., CPSM, CSCP) is a plus.
- Experience in construction, mining, and/or manufacturing.
