In this role, the Accounting – A/R Clerk is an essential point of contact for office staff and members alike regarding member account balance inquiries: excellent attention to details and highly efficient communication skills are necessary. This position plays a crucial part in maintaining the financial health of The Rancho Tehama Association by supervising all aspects of the accounts receivable processes and procedures. The Accounting – A/R Clerk is responsible for scrutinizing and/or posting member payments, producing, and mailing monthly billing statements, monitoring collection actions, reconciling general ledger accounts, and producing financial reports that will help in decision-making for the Board of Directors. Daily tasks will include updating financial records, researching billing issues, recommending solutions to resolve billing issues, and ensuring compliance with, as well as following The Rancho Tehama Association policies, follow GAAP/FASB standards & principals, and adhere to all government regulations. Additionally this role requires strong analytical skills with the ability to function independently, while maintaining a cooperative effort in working with other staff and Board Members. This position does require mandatory management approvals before taking resolute actions affecting a member’s account or bank balances.
The Accounting – A/R Clerk reports directly and only to the Association’s Executive Officer; however, accounting oversight will be conducted in collaboration with the Treasurer of the Association.
POSITION RESPONSIBILITIES:
- Monitor daily accounts receivable transactions and ensure accurate record-keeping.
- Update and maintain members’ account information such as names, addresses, phone numbers, email addresses, and look up property APN’s as needed.
- Scan and upload documents to the member’s profile as needed.
- Weekly tracking of past-due accounts, account collection actions, and mailing out late notices.
- Post debits of late fees, NSF fees, transfer fees, etc. to member accounts and send notices of such to members.
- Prepare, process, review, and mail monthly billing statements to members.
- Generate specified monthly financial reports, summaries, and combined month-end financial statements for the Board of Directors.
- Maintain and update the general ledger and ensure compliance with accounting principles.
- Assist in budget preparation and forecasting as required.
- Collaborate with the Treasurer and the Association’s collections vendor.
- Fill in as needed at the front desk to take member payments and answer phone calls.
- Alternate daily trips to the Association’s banks to make deposits.
- The Executive Officer will perform the monthly Bank Reconciliations and may request assistance with receiving back-up support documentation.
Requirements
- Proven work experience as an Accountant or in a similar finance role.
- Strong knowledge of accounting principles and bookkeeping practices.
- Proficiency in QuickBooks applications, Microsoft Office products (Excel, Word, Outlook, etc.), and Adobe products.
- Outstanding computer and technology use skills.
- Excellent numerical and analytical skills with high diligence.
- Exceptional communication skills, both verbal and written. This includes telephone and email etiquette.
- Strong organizational and time-management abilities.
- Ability to maintain confidentiality regarding all Association information, including finances, member’s, staff, and Board of Directors information.
